JOB SUMMARY:
Under direction, plans, organizes, coordinates, and directs day-to-day activities related to the surgical and clinical activities. The secondary purpose of the position is to provide administrative assistance to providers. Coordinates administrative tasks, scheduling, and other patient care issues as directed by the Physicians, Practice Supervisor, and Director of Administration.
Job duties include but are not limited to the following:
- Understand the process for precertification/preauthorization from insurance companies for imaging and procedures. Understand basic principle of insurance coverage. Obtain insurance information, demographic information and authorizations as needed.
- Coordinate appointments with the patient for their imaging and/or audiology.
- Works with providers to schedule testing/blood work. Forwards test results to appropriate providers on time. Faxes to appropriate providers.
- Serves as liaison between the patient and the provider to assist with prescription refill requests and other items that may be needed.
- Processes medical record requests in a timely fashion.
- Coordinates operative schedule of supporting physicians and ensures that clinical and business paperwork before surgery is complete so patients are clinically and financially prepared for surgery.
- Completes all SSI disability forms, and Letters of Medical Necessity for insurance information, as well as, explain benefits to patients preparing for surgery.
- Coordinates the scheduling of all vendors and specialists for operative cases.

- Confirms pre-operative instructions with patients as directed.
- Assists with coordination of operative and post-operative schedules for patients and providers.
- Confirms pre-operative instructions with patients as directed by physicians.
- Responds to written and telephone inquiries from patients, physician offices, insurance companies. Informs other staff of pertinent information.
- Responds professionally and pleasantly to telephone messages. Obtains adequate/accurate information and delegate information appropriately.
- Maintains communication with physicians, mid-level providers, patients, hospitals, insurance companies.
- Maintains patient confidentiality complies with HIPPA guidelines as established by the practice.
- Keeps abreast of all pertinent federal, state, regulations, laws, and policies as they presently exist and as they change or are modified.
- Performs other related duties as assigned.
EDUCATIONAL REQUIREMENTS:
Bachelor’s Degree in a healthcare-related field such as: Nursing, Surgical Technology, Athletic Training, Health Informatics, or a related field. Equivalent education, experience, and/or training may be substituted for the degree requirements.
QUALIFICATIONS AND SKILLS:
1. One (1) year of experience working in a physician group practice is preferred.
2. Must have significant knowledge of computer applications including Microsoft Word, Excel, practice management software, PowerPoint, as well as a web-based software
3. Ability to perform multiple and diverse tasks simultaneously required.
4. Ability to prioritize work flow in a fast-paced environment
