Job description

The School of Music, Dance and Theatre in the Herberger Institute for Design and the Arts at Arizona State University is seeking a Coordinator of StudentAffairs and Theatre Course Scheduling. This position is located within the Office of Admissions and Academic Affairs and is supervised by the Manager in that office. The position will work closely with faculty, staff, and students regarding all aspects of Student Affairs, curricular activities, enrollment management and will provide occasional support to the admissions team.

Essential Duties

Curriculum Management:

  • Oversee the annual catalog review process and catalog review updates, including assisting faculty leadership with the assessment process for all music, dance and Theatre programs.
  • Oversee and input data related to curriculum development by utilizing the curriculum. software to support Degree Search, academic catalog and course catalog updates.
  • Update and manage the graduate degree handbooks and check sheets in alignment with yearly catalog review.

Enrollment Management and Staff Advising:

  • Maintain current student data and utilize the data effectively to drive decision-making.
  • Process Student Affairs forms such as requests for incomplete grades, independent studies, petitions and transfer evaluations.
  • Assist students and faculty with registration issues to include administrative proxies, academic record changes and iPOS updates.
  • Serve as the staff advisor for graduate students in music, dance and Theatre programs and meets with them to discuss degree progress, registration and plan of study.
  • Support graduate student success and retention efforts by building reports to track registration. and enrollment and to communicate with graduate students and faculty where appropriate.
  • Serve as a liaison for the unit with the Graduate College regarding student petitions, filing plans of study, committee endorsements and graduation processing.
  • Assist with graduate master’s comprehensive exams proctoring.
  • Present workshops for current students on topics such as CPT and Steps to Graduation.
  • Update and maintain the student canvas sites.

Course Scheduling:

  • Work with stakeholders to perform tasks related to Course Scheduling for theatre.
  • Manage classroom scheduling for Theatre and provide backup assistance for dance and music Course Scheduling.
  • Collect and submit course change requests from faculty and process in Kuali.

Admissions Support:

  • Assist with audition days and/or dance festival days as needed.
  • Occasional help with other recruitment activities such as attending ASU Zoom sessions for admitted students or on-campus tabling events.

All Other duties as assigned by direct supervisor.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

  • Experience in Course Scheduling with ASU Class Scheduling.
  • Experience with Student Affairs, enrollment management practices and graduate student advising.
  • Experience in dealing with confidential and sensitive information.
  • Evidence of a commitment to diversity, equity and inclusion.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts
  • Ability to clearly communicate to perform essential functions
