Looking for a professional in the hospitality and event industry who plans and coordinates events. We need someone who can not only coordinate events in our facilities, but also select offsite venues, adhere to the given budget, arrange onsite vendors and ensure client satisfaction for the scheduled events. Non-event administrative support will also be needed.
- Oversee the planning and execution of a multitude of events (onsite and offsite)
- Understand the requirements for each event
- Uphold the company’s mission and vision with every event
- Own every aspect of an event, from venue choice to speakers, to themes, to success metrics, etc
- Develop a complete understanding of the requirements for every event
- Plan event with attention to financial and time constraints
- Book venues, schedule guests, draft and finalize contracts, and lock down day-of logistics
- Research vendors and make selections based on their creativity, quality, and cost
- Negotiate with vendors to achieve the most favorable terms
- Develop content for event materials and work with graphic designer to produce
- Manage all event operations (preparing venue, invitations etc.)
- Do final checks at the day of the event (e.g. tables, technology) to ensure everything meets standards
- Oversee event happenings and act quickly to resolve problems
- Evaluate event’s success and submit reports
- Attend events when needed
- Assist with content creation for events
- Help with social media postings regarding events
- Non event administrative support as needed
Must Haves:
- A proven track record of organizing creative, successful events in a corporate environment
- Proficient in MS Office
- Excellent vendor management skills
- Outstanding communication and negotiation ability
- Experience working with colleagues in graphic design, sales, marketing, and communications
- Works effectively on multiple simultaneous projects with competing deadlines
- Able to handle stress and remain calm
- Problem-solving ability
