Summary: Reviews and processes agent and agency contracts for certification. Processes hierarchy changes, manages agent/ agency agreements, and processes special requests related to contracting by performing the following suites.
Duties and Responsibilities:
- Efficiently manage and organize all incoming calls.
- Monitor and maintain the contracting inbox to ensure timely response and resolution.
- Facilitate communication by managing faxes and maintaining proper record keeping.
- Utilize CRM tickets to effectively manage and track contract-related tasks and forwarding to the appropriate personnel.
- Maintain orderly agent and agency folders to streamline operations.
- Ensure accurate and complete documentation in agent onboarding process.
- Works in Slack platform: updating, responding, and addressing reports and notifications for internal communications and follow through.
- Collaborate with relevant departments and individuals to create contracting instances.
- Scans and saves contract and supporting documents into agent's file according to the naming convention.
- Utilize expertise to train new hires in the job processes when needed.
- Contracting processes, and policy and procedure management.
- Works closely with other agencies to ensure that all necessary documentation and approvals are obtained in a timely manner.
- Work on high priority projects and fire drills when needed.
- Make special requests including changing commissions, address, and licensing when needed.
- Performs hierarchy changes and agency levels internally and per carrier.
- Oversight on carriers' requirements, products and CMS rules and regulations
- Other responsibilities as assigned by Management.
Requirements:
- Excellent communication skills to promptly address incoming calls and emails.
- Strong organizational abilities to manage multiple tasks efficiently.
- Attention to detail to ensure accuracy in documentation and record keeping.
- Proficient computer skills, including familiarity with platforms such as Internal CRM and Slack
- Proactive problem-solving skills to effectively address agent inquiries and issues.
- Ability to work independently and collaborate in a team environment.
- Prior experience in contract management or administration is preferred but not required.
