Job BriefThe Assistant Project Manager is a strategic problem-solver who imagines smart solutions and executes across all levels of the organization and project. They are responsible for coordinating with superintendents, ensuring that specifications are being strictly followed, and the work is proceeding on schedule, within budget and to the quality of workmanship specified. The Assistant Project Manager is responsible for the overall scheduling, budgeting, direction, completion, and financial outcome of construction projects, ranging up to $60 million in size.
Duties and ResponsibilitiesActively support HSLCS’s values at all times.
Be on time, set priorities, and be personally accountable for the functions associated with the assigned position and project.
Maintain positive, close relationship with Clients, Architects, and Engineers, government representatives, and other project stakeholders to facilitate construction activities, while keeping everyone informed and involved.
Manage permitting & preconstruction process with local jurisdiction
Leads all team members, internally and externally, to clearly stated goals and expectations; establishes dates and timelines for work to be completed.
Ensure all construction plans conform to the owner’s expectation.
Coordination, collaborate, negotiate, determine needed resources, and oversee entire construction project to ensure milestone dates are met.
Develops realistic schedules with measurable tasks to ensure projects stay on track.
Budgeting and managing all expenditures.
Draft, review, issue and administer subcontracts.
Place complete and accurate material orders with reliable and affordable vendors; ensures timely arrival.
Produce/deliver weekly project updates and its ongoing tasks to VP and Owner.
Creating draw requests based on completed/anticipated work in accordance with payment schedule for proper cash flow to complete the job.
Ensure all invoices and draw requests are accurate and prepared for VP approval.
Provide a detailed review of all plans and specifications. Report all inconsistencies and discrepancies in writing to the Architect and/or Civil Engineer.
Estimate and process change orders.
Communicate with the Superintendent regarding RFI’s, material submittals and owner changes.
Assist project Superintendent to ensure subcontractors are installing work per plans and specifications.
Ensure construction complies with the approved drawings, specifications and owner requests.
Coordinates all on-site inspections with Bank representatives, Insurance company and Safety Manager.
Compile hard copy and electronic copy of close-out documentation for Owner; reviews with Owner and/or Owner representative.
Be actively involved with every subcontractor; have knowledge of their contract and their responsibilities. Discuss problems and conditions with Superintendent as they arise.
Promote job safety programs; encourages safe work practices and corrects all job site hazards.
Ensure Superintendent requires all subcontractors working on site to apply safety principles appropriately on the jobsite, make statements and ask questions to ensure subcontractors and HSLCS employees are thinking about safety at all times.
Confirm all permits and licenses have been obtained for each project; track permit expirations, etc.
Attend jobsite meetings with engineers, architects, interior designer, owner, government entities and other applicable parties to ensure work complies with drawings, specifications, and schedule.
Use mobile device applications for communicating with the project team regarding RFI’s, submittals, scope changes, quality and safety observations, inspections and punch lists.
Responsible for charge accounts. Receipts must be submitted within 3 days for all purchases made on all accounts, including Home Depot, Dunn Edwards, etc.
Accountable for the safety and security of all HSL documents, files, paperwork, etc., both on Server and hard copies.
Provide support with long-range planning and statistical analysis of labor and material costs.
Performs any additional duties assigned by the VP of Construction or Director of Operations
Ability to prepare management, business and technical reports, using Software program.
Strong leadership, communication and problem-solving skills.
Independent judgement and initiative abilities.
Ability to pay meticulous attention to detail and manage multiple projects.
General understanding of scheduling, construction estimating and budgeting.
Positive attitude and professional customer service skills.
Strong computer skills required, including working knowledge of Microsoft Office suite.
Strong understanding of local municipal permitting and building code knowledge.
Travel to and from the job site(s) as necessary
Valid driver’s license
Ensure Superintendents and subcontractors enforce their Safety Program.
Refer to and adhere to the HSLCS Safety Manual and all OSHA regulations.
Safety shoes and hard hat must be worn at all times, while on job sites.
Other equipment, such as safety glasses, vests, masks, gloves, etc. as tasks dictate, will be provided.
Bachelor Degree, preferably in Civil Engineering, Construction Management, Business Administration, or a related field.
Minimum of 5 years previous experience in the construction industry, preferably working under a general contractor in commercial or multifamily construction projects or equivalent combinations of education and experience
Ability to read and interpret documents such as building and site plans, safety rules, operating and maintenance instructions, and procedure manuals.
Successful completion of the OSHA 10-Hour class, at a minimum. Training must be maintained every-other year.
OSHA 30-Hour class is encouraged.
Work both indoors and outdoors in variety of weather conditions.
Regularly sit, squat, bend, stoop, crouch, kneel, stand, walk, and use hands and fingers for typing and to operate various office equipment.
Have endurance and ability to visit all aspects of each job site, including stairs and other elevated structures; likely walking 2-3 miles at site visits.
Must be able to lift and/or move up to 30 pounds.
Available to work 40+ hours/week.
Consistently arrive at work, at meetings and at appointments on time. Ensures all work responsibilities are covered when absent.
Additional off-hours and/or weekends may be required to meet project deadlines.
