Construction Administrator
Job Summary
The Construction Administrator directly reports to the Construction Manager and independent Field Superintendents and provides support to the Construction Organization and larger Capital Projects Organization as needed.
Responsibilities
• General administrative duties as assigned.
• Maintain project records and file directory, as required.
• Support maintenance of the construction section of construction SharePoint site, as required.
• Provide construction interface for project leadership administrative requests.
• Manage and replenish office supplies as directed by the Field Superintendent.
• Support critical activities of the Capital Projects Organization during periods of peak activity or absence.
• Maintain the scope specific construction group organization chart and overall construction organization chart.
• Ensure staff rotation schedule (Rainbow Schedule) is up to date.
• Assist with employee on/off-boarding (badging, computers, ID, office assignments, etc.).
• Assist with managing conference rooms (if necessary).
• Develop and maintain north slope specific onboarding materials.
• Assist with maintaining the North Slope construction billeting report (planned, actual, forecast).
• Maintain construction management contact and distribution lists.
• Coordinate travel schedules and travel reservations, as required.
• Reserve billeting and flights for projects personnel.
• Assist contractors with billeting and flights, as requested.
Required Qualifications
• 7 years of experience in Admin/Coordinator position or similar role
• Effective communication and interpersonal skills to work in a dynamic project team environment
• 5 years of experience using Microsoft Office Applications, particularly Word, Excel, PowerPoint, Teams, and SharePoint
• Professional demeanor, a positive attitude and willingness to assist in other duties as needed
