Position Description:

Become part of a cross-functional team of financial, budget, management, audit and grants program analysts for dynamic federal environment. We are seeking a self-motivated individual who will apply demonstrated knowledge of federal grants management cycle (from application notice, through acceptance and funds distribution and monitoring and closeout) to support highly visible and sensitive grants programs in reviewing and monitoring conference funding, compliant requests for events. Support with Technical assistance training events. to support. Work closely with program leads, director, and external reporting at the department level.

Your future duties and responsibilities:

Develop memos requesting conference authorization (internal and external to agency)
Monitor the OVW Conference Request Form Inbox and respond to e-mails and inquiries accordingly and timely.
Review Conference Request Forms (CRF) from Technical Assistant (TA) Providers, Cooperative Agreement Recipients, Contractors, and other Grantees.
Review event agendas and ensure that the required information is listed and validated against the CRF.
Validate CRFs for missing/incorrect information, cost calculations, thresholds transgression, taxes and fees, attrition rates, location, etc.
Support answering questions on allowable travel expenses for all federal staff and include calculations on CRFs.
Maintain and update a CRF Tracker to record dates of request, calculate timelines for review, and monitor the overall lifecycle of the request.
Upload CRFs to the appropriate monitoring database and assign workflow routing depending on the program unit, state of the event, and review timeline.
Ensure that all DOJ Conference/Event Policies are adhered to.
Liaise between the Grant Program Specialist and Grantee to retrieve information that is missing and communicate all steps in the request lifecycle.
Liaise between the OVW Director and Grant Program Specialists to ensure that all questions/concerns are answered in a timely manner and timelines for review are adhered to.
Liaise between the Justice Management Division (JMD) and OVW for requests that require approval from the Office of the Assistant Attorney General (AAG). Provide all requested documentation to JMD in a timeline manner.
Liaise between the OVW Travel Program Specialist and Program staff on travel expenses for reporting purposes.
Generate weekly status reports to list the status of requests, conference tracking activities, and any risks/watch items for the GDMD Deputy Director.
Update the CRF Template on an as needed basis and communicate with JMD regarding any updates.
Monitor all event reporting activities and ensure compliance to timelines.
Complete quarterly reports for Department-Sponsored events in response to JMD conference data calls; work with the appropriate Administration Division staff to collect Non-Department-Sponsored conference data.
Perform data analysis on conference requests and reports on an as needed basis.
Complete any ad-hoc assignments related to conferences on an as needed basis.
Attend weekly meetings with the GDMD Deputy Director to provide status updates.
Meet/communicate with various GDMD Program staff members as required and to collect information for CRFs.
Coordinate with the Tribal Affairs Division (TAD) Deputy Director and COR Team Lead on any tribal requests.

Required qualifications to be successful in this role:

Hi-level knowledge of the grants management lifecycle
Some knowledge of federal financial analysis, reporting and reconciliation
Ability to communicate clearly and professionally verbally and in writing on conference/event request matters to program leaders, financial and agency leadership
Ability to communicate conference workflows, develop written and clear justification for approvals from senior leadership
Be responsive to requests from client program analysts and leads
Good Excel skills
Expert with MS tools (Outlook, Word, PowerPoint, etc.)
A bachelor's degree in business or finance, technical writing and communications and have at least 4 years' experience successfully participating in completion of similar projects in the federal sector
In lieu of an degree, a minimum of four (4) years' experience showing organizational strengths to manage workflow, communications and monitor schedules, interpret policy and procedures is acceptable

The determination of this range includes various factors not limited to: skill set level; experience and training; and licensure and certifications. CGI typically does not hire individuals at or near the top of the range for their role. Compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $54,400- $87,700.
