The Conference Exhibit Manager:
The Conference Exhibit Manager will be responsible for overseeing the planning, coordination, and execution of all exhibitor-related activities for all company events. Your role will involve managing exhibitor logistics, ensuring a seamless experience for exhibitors, and maximizing their satisfaction. This is a key position that contributes to the overall success and reputation of our events.
The Conference Exhibit Manager primarily works remotely, with travel required for the Conference and for Conference-related business, currently estimated at 3-4 weeks of travel per year, subject to change per company needs.
You Will:
Exhibitor Relationship Management:
Serve as the main point of contact for exhibitors, providing excellent customer service and building strong relationships.
Initiate and track Exhibitor Agreements, payments and marketing assets.
Conduct regular communication with exhibitors, addressing their inquiries, concerns, and needs.
Coordinate exhibitor registration, including the collection of required documents, payments, and contract management.
Provide exhibitors with event-related information, guidelines, and deadlines.
Exhibitor Logistics and Operations:
Plan and oversee the layout and allocation of exhibition spaces, ensuring efficient use of available space.
Coordinate exhibitor move-in and move-out processes, including scheduling, logistics, and on-site support.
Manage exhibitor services, such as electrical connections, internet access, and additional booth equipment.
Collaborate with venue staff to ensure smooth operations and adherence to health and safety regulations.
Exhibitor Support and Assistance:
Provide guidance and support to exhibitors regarding booth design, setup, and decoration.
Assist exhibitors in coordinating shipping, storage, and transportation of their materials and products.
Coordinate with vendors and contractors to fulfill exhibitors' additional requests, such as AV equipment or catering services.
Address exhibitor concerns and troubleshoot any issues that may arise during the event.
Exhibitor Marketing and Promotion:
Collaborate with the marketing team to develop effective strategies for promoting exhibitors and their offerings.
Coordinate the inclusion of exhibitors' information in event marketing materials, such as websites, brochures, and signage.
Facilitate networking opportunities between exhibitors and event attendees, such as through matchmaking programs or dedicated networking events.
Support exhibitors in creating and executing marketing initiatives to maximize their visibility and engagement.
Post-Event Evaluation and Reporting:
Collect feedback from exhibitors to assess their satisfaction and identify areas for improvement.
Prepare post-event reports, summarizing exhibitor participation, outcomes, and key learnings.
Collaborate with the sales team to identify opportunities for exhibitor retention and upselling for future events.
Maintain a comprehensive exhibitor database, including contact information, preferences, and participation history.
Event Team Support:
Support with onboarding conference speakers, sending out speaker agreements, speaker communications, and logistics planning to ensure speakers are prepared prior to events.
Collaborate with team to plan and execute localized or brand specific events, such as seminars, workshops, and product launches, with a focus on achieving targeted outcomes.
Provide on-site support during events, showcasing your ability to make independent decisions that optimize event flow and attendee satisfaction.
Emphasize your results-oriented mindset by serving as a point of contact for customer inquiries, providing prompt and exceptional customer service related to events.
Leverage your independent decisiveness to address customer concerns or issues efficiently and effectively, ensuring their satisfaction and promoting a positive company image.
You Will Need:
Bachelor's degree in event management, hospitality, business administration, or a related field (preferred).
Proven experience in exhibitor management or related roles within the events industry.
Strong organizational and project management skills, with the ability to multitask and meet deadlines.
Excellent communication and interpersonal skills, with the ability to build rapport and effectively liaise with exhibitors.
Detail-oriented mindset with a focus on delivering high-quality customer service.
Knowledge of event logistics, including floor planning, booth setup, and exhibitor operations.
Willingness to work irregular hours and travel as required by event schedules.
Familiarity with event management software and CRM tools.
Ability to work independently and collaboratively within a team environment.
Compensation:
Based on this position and the requirements above we are offering an annual salary of $85,000 for this position.
Benefits:
We offer 16 days of paid vacation, sick pay and holiday pay. In addition, as an employer we pay 100% of our employees premiums for Medical, Dental, Vision.
