Description
An Image Engineering Compliance Coordinator - Permitting Specialist serves a vital role within our Project Operations division, working with internal project teams and local Authorities Having Jurisdiction (AHJs) to secure relevant permits for our sports and corporate events as well as tours globally. The Compliance Coordinator uses pre-established procedures and templates, as well as develops new ways to streamline and make efficient current processes, to submit all compliance-related paperwork in a timely manner and manage communications between project teams and local authorities.

All relevant permits and associated paperwork related to a specific jurisdiction are submitted in a timely manner in respect to required deadlines.
Communication with local AHJs, Partners and Licenses is professional, well-managed, timely, clear, and concise, allowing for a smooth experience for Fire Marshals/Inspectors, Local Special Effects Partner Companies and Local Licenses to complete their tasks off and onsite.
Expenses associated with permitting are accurately reported so Project Managers can project and bill back costs in a timely manner to clients.
When challenges arise related to permitting, they are dealt with in a judicious manner and all applicable parties are involved and provided updates.

Email and Phone Call Responsiveness on Evenings/Weekends Required
Primary Responsibilities
Collaborate with Project Managers to collect required information for permitting and advise on jurisdiction submission timelines, regulations, and restrictions
Prepare information packets regarding all special effects and lasers for local authorities, clients and onsite crews
Process all relevant local and state permits for pyrotechnics, flames, lasers and other special effects under the direction of the Compliance Manager
Process federal permits and notifications to entities such as the FAA and U.S. Coast Guard, when necessary
Mail or deliver physical permit applications as required by local jurisdictions
Communicate with all pertinent AHJs to fulfill any requests for additional information for permit approvals
Maintain project operations databases with permit paperwork and real-time developments
Assist Project Managers with site surveys and equipment/product demonstrations, as necessary
Track all permitting expenses in real-time and report to Project Management/Accounting
Stay current on industry, local, state, and federal laws, regulations and best practices
Update project databases with venue and jurisdiction information
Secondary Responsibilities
Recommend Professional Development topics/trainings based on ongoing project skillset needs
Assist Team in developing company resources, policies, procedures, and standardized paperwork
Follow company procedures and directives
Perform other related duties as required and assigned
Requirements
Confidence and well-developed communication skills to converse in scheduled and impromptu manner with AHJs, Local Licenses, onsite crews over the phone or via text/email
Proficiency with Microsoft Office Suite, specifically Word and Excel
Proficiency with Adobe
