Job Description
JOB SUMMARY:
The Community Relations Coordinator: 1) assists with external and in-house sales and marketing, 2) participates in the development and implementation of the community’s sales and marketing plan, 3) coordinates move-in process for new residents, and 4) acts as a liaison between new/incoming residents and Spring Arbor department managers.
JOB RESPONSIBILITIES:
General Office Duties
- Greet and direct visitors in a professional, friendly and hospitable manner
- Answer inquiries according to established procedures relative to HIPAA guidelines
- Handle inquires in a positive manner and obtain necessary information for follow-up
- Operate community telephone and paging systems efficiently and transmit calls and messages promptly and accurately
Sales/Marketing
- Assist with the development and implementation of the community’s sales and marketing plan
- Assist with sales and marketing activities and events
- Document sales activity on a daily basis utilizing CRM system
- Meet monthly key performance indicators including: follow up calls, professional sales calls, tours and event planning
- Prepare marketing packets and literature for referrals and prospects
- Develop a strong network of professional and agency referral sources
- Host and attend community events, developing positive Community Relations
- Research and maintain information on local competitors, including rates, specials and services
- Schedule presentations with prospective residents and families, in accordance with Spring Arbor protocol
- Coordinates move-in process for new residents
Training
- Attend meetings and in-service training sessions as required and in accordance with state guidelines
Residents’ Rights Functions
- Ensure compliance and understanding of all regulations regarding residents’ rights at all times and report observed violations
Other
- Abide by all house policies and procedures
- Handle emergency situations in a calm, effective manner
- Assist coworkers with other duties as needed
- Assist with resident activities as needed
- Ability to work a flexible schedule to support the community’s sales process
- Perform other related duties as assigned by his/her supervisor

- Must be courteous, patient, and tactful when dealing with public, residents, and families
- Ability to learn tasks and follow instructions
- QUALIFICATIONS:
- High School diploma or equivalent required
- Experience in a healthcare, hospitality, or service environment preferred
- Well developed interpersonal and communication skills
- Ability to work in an environment conducive to caring for residents without posing a substantial safety or health threat to self or others
- Ability to work well with others and promote a team environment
