- Direct management of one to two Community Associations. This position can be expanded to full-time as new clients come aboard or, if the candidate wishes to remain part-time, then the responsibility level can remain part-time.
- Preparation of agendas and board materials for HOA board meetings.
- Attendance at HOA board meetings. Most meetings are via Zoom but some may be in-person.
- Work directly with the HOA board to address the needs of the community.
- Answer phone calls, respond to emails, and handle inquiries promptly.
- Maintain organized and up-to-date files and records.
- Coordinate and schedule property maintenance and repairs.
- Obtain quotes for work as needed at the community and present them to the board for approval.
- Conduct property inspections and notify owners of covenants violations.
- Conduct periodic inspections of the common areas, identify any items requiring attention and take necessary steps to resolve.
- Assist the board in the formulation of the association's annual budget.
- Oversee the annual expenses of the community. Ensure billings are accurate and paid on time.
- Oversee and track assessment payments, send late letters as necessary and follow the Association's collection policy for the acceleration of any unpaid accounts to legal.
- Supervise the performance of contractors working for the HOA's and address issues as needed.
- Prepare and send resale certificates.
- Handle resident complaints or concerns with professionalism and address issues as appropriate.
Requirements
- CMCA (Certified Manager of Community Associations) credential required.
- Previous experience as a direct manager of Community Associations a must.
- Knowledge of property management software a plus.
- Should be proficient with MS word, excel and outlook.
- Should have familiarity with legal administrative processes, state statues, and industry standards related to Community Association management.
- Ability to read and understand financial reports and income statements.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize tasks effectively.
