Community Engagement and Intake Specialist Job Description
Incumbent: New Position
Classification: Non-Exempt
Reports To: Director of Caregiving and Aging Services
Description Date: April 2024
Position Purpose:
The purpose of this position is to be our first point of contact for clients reaching out for support, resources, and Caregiving & Aging services. This position is also the department’s main support for fostering and growing the communities that we serve.
Major Challenges:
A major challenge for this role will be managing its variety of tasks and responsibilities and their different timelines.
Essential Job Functions:
· Manage intake
o Take calls and emails, return messages, complete intake form, discern appropriate next step, route to staff, initiate client record, and monitor to ensure new clients have been contacted by staff.
o Provide an effective and compassionate first contact with the program. Demonstrate empathy, cultural awareness, and responsiveness.
· Marketing & Outreach
o Work with team to create outreach strategy
o Develop outreach materials; work with Communications on formats and media
o Disseminate materials
o Make visits to key referral sources, involving others as needed
o Evaluate effectiveness of outreach tactics
o Create bi-monthly newsletter; tap team members for content
· Work to expand relationships with a broad spectrum of community members
o Nurture reciprocal connections with other organizations that serve diverse communities
o Develop and maintain awareness of unique needs of various cultural groups
o Participate with the team in adapting services to meet emerging needs
· Event planning and logistics
o Find venues and schedule memory screening events
o Act as point person for resource fairs we are invited to
o Help plan quarterly education events
o Work with team to ensure staff coverage for all events (e.g., resource fairs, memory cafes, memory screening sessions, etc.)
· Administrative support
o Manage monthly client invoicing
o Maintain C&A library
o Distribute annual client surveys and summarize results
o Manage iPad loaning, updating, training
o Learn all relevant data systems and serve as data management back-up staff person
Other Job Duties:
As with all FamilyMeans staff positions, this position is responsible for helping ensure volunteers and interns have an exemplary experience during all interactions with FamilyMeans, and is expected to consistently maintain a high level of customer service to all guests, clients, and fellow team members.
Relationships:
The incumbent reports to the Director of Caregiving and Aging Services. No paid staff positions report to the incumbent.
Equipment Used:
Computer, telephone, fax, copier.
Qualifications:
Minimum Education and Experience
A bachelor’s degree in human services or related field. Applicable skills and experience may be used in place of some or all of a bachelor’s degree.

Physical Aspects of the Job:
This position requires making extensive use of the telephone and computer to communicate with clients and community members. This position entails sitting for extended periods of time and the ability to lift up to ten pounds.
