Department ARTS & SCIENCES; DEAN (BL-ARSD-IUBLA) Department Information The College Graduate office oversees all 2500 graduate students and all PhD, MA, MS, MFA, and other graduate degrees, plus minors and certificates, in the College. Our job is to make it possible for graduate students in the College to acquire the expertise they came to Indiana for, to pursue the research that inspires them, and to gain knowledge and experience as teachers and/or in other professions relevant to their degrees. The mission of the office is to build upon those projects to improve the funding, and thus the quality and reputation of our graduate students and programs.

The College of Arts and Sciences is the largest academic unit at Indiana University Bloomington. It is composed of 40+ departments, 50+ Centers, Programs, and Institutes, while also including the Eskenazi School of Art, Architecture and Design, the Hamilton Lugar School of Global and International Studies, and The Media School. Faculty in the College teach over 50% of the Indiana University (Bloomington) credit hours and the College occupies about 1.3 million square feet of space in 80+ buildings on the Bloomington campus.

Job Summary Department Specific Responsibilities Processes most updates to student records on behalf of the College Graduate Office.

Interprets and explains a wide range of university and governmental policies and procedures involving official records. Works with Registrar to ensure that CART requests are being properly processed. Assists in maintaining the relevant SIS (Student Information System) program/plan stacks.

Advises and educates graduate staff on appropriate procedures surrounding program plan stack maintenance. Approves grade change requests. Primary approver of doctoral advisory committees, doctoral minor recording, and student record changes.

May assist in reviewing and processing several office tasks, including degree conferral, transfer of graduate credit, simultaneous degree requests, inter-campus transfers, and English as a second language. Maintains and analyzes a variety of data, which may include student records, course enrollment, final grades, student degree requirement progress, and degree conferral. Manages eDrop/Add requests and other common current term enrollment requests for the College Graduate Office.

Updates MANTIS database with relevant information to track enrollment requests through CART (Campus Administrative Registrar Transactions). Tracks and reports to departments regarding issues with under/over enrollment of SAAs. Tracks data for various requests to evaluate processes for improvement.

Develops/implements training to limit the number of exceptions requested. Contributes to College Graduate Office efforts to design annual/semi-annual training and refresher opportunities, produce online training modules, as well as individualized training opportunities as needed. Responds to feedback from departments to determine what processes or content require additional development and review.

Supports the creation and maintenance of office resources, including the Handbook for Graduate Program Personnel, as well as internal and external training guides. Works with other members of the College Graduate Office to develop and implement processes and procedures to ensure compliance in student enrollment, grades, registration, records, and grade appeals. Works on special projects in coordination with the Directors, which further the Colleges goals.

Attends relevant campus workshops including Office of International Services, Recorders meetings, Registrar, and others. Maintains relationships to build professional understanding, knowledge of best practices, and resources through professional networks. General Responsibilities Assists with administrative needs related to the daily operations, planning, and implementation of various or multiple Student Services initiatives.

Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail. Serves as a liaison to campus partners for cross-departmental Student Services initiatives, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation. Provides assistance to student participants, stakeholders, faculty, and/or staff; acts as a resource by analyzing information, providing documentation, and preparing reports.

Accurately maintains student records and databases. Provides directions, support, and information to student organization representatives and other visitors to the department. Assists with daily scheduling, training, and gathering of student feedback.

May prepare and disseminate handouts, presentations, or other materials. Assists with ordering or creation of promotional materials for student organizations or departmental needs. Takes on tasks of increasing complexity, such as performing benchmarking research of Student Services initiatives at other higher education institutions or designing routine surveys to gauge student satisfaction and program effectiveness.

May provide guidance to other Student Services Coordinators. Qualifications Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience.

EDUCATION Required High school diploma or equivalent (such as HSED or GED) Preferred Bachelor's degree or equivalent experience in public affairs, counseling, social work, education, business, or related field.
