Clubhouse Office Mgr. /Onsite Mgr.
Office Operation Hours: 10:00 am to 5:00pm (1 hour lunch break)
Approximately – 30 hours a week
This position is a liaison between the Board of Directors & the Community Association Manager keeping both parties up to date on all issues regarding the property.
· Access to onsite office as well as amenities and vendors who need to have access to the clubhouse.
· Return office messages & emails.
· Check onsite mailbox.
· Access online cameras & monitor use of amenities.
· Greet visitors/owners to clubhouse and direct them to the proper person/persons & provide any information that is necessary.
· Provide & Process new owners with the required forms necessary for Envera gate system & HOA management company. Provide information of HOA rules & regulations for Club Cortile & codes for amenities whether long-term or short-term use.
· Provide vehicle decals for owner use.
· Create & update owner files in the onsite office.
· Maintain club house A/C drain monthly & clean reusable filter as needed.
· Purchase all supplies for the office and club house or amenities.
· Maintain petty cash.
· Monthly reconciliation completed & sent to management company.
· Approve all invoices to be paid by management company & print copy for vendor file.
· Testing of pool chemicals & record for health department required pool log on days pool service does not service the pool. 11/1- 5/31st onsite mgr. tests Tues, Wed, Fri. & Sun. 6/1 – 10/31st onsite mgr. tests Tues. and Sunday only. Note- (Sunday is not actually logged by onsite mgr. due to work schedule, but left blank which hasn’t been an issue with health
dept.)
· Change clock tower (front) timer, also pool lights surrounding pool area, and the timer for the fountain for daylight savings.
· Clean kiosk license reader at least once a week. (Ask Envera for cleaner cards when you have used all inventory)
· Handle all issues with swing gates and barrier arms.
· Provide & assist all long-term renters with forms needed for gate access & community parking.
· Create & maintain files in onsite office of all long-term rentals for gate access and control of 1 vehicle per person on lease regulation.
· Provide vehicle stickers to long-term tenants.
· Provide Envera long-term leases by registration form and vehicle access forms required by all residents, so they may be entered into the Envera portal.
· Provide Envera with all residents who no longer live within the community so they can be removed from the community portal.
· Edit & apply changes in the Envera & Emerge system for renewal lease dates and sticker activation.
· Apply deactivation of vehicle stickers in Emerge system.
· Take payment for vehicle decal/sticker and place properly on vehicle checking to be sure the plate matches the form filled out for parking vehicle on property.
· Set up & maintain vendor contract/invoice files kept in onsite office.
· Contact vendors directly for scheduling and property issues. (roof leaks, electrical, etc.)
· Directly work with vendors on property ensuring work & projects are completed.
· Call, meet, & walk property with vendors for bids on pending projects.
· Walk property checking issues that may arise with violations. ie: pets on property, car maintenance on property, rent or sale signs, etc.
Job Type: Part-time
Pay: $18.00 - $21.00 per hour
