The Clinical Curriculum Specialist for the School of Medicine is responsible for the program administration and management of key aspects and systems of the CLINICAL CURRICULUM. Using independent judgement and decision making, the Specialist manages the education systems which track the curricular requirements at the UW SOM and ensures SOM Curriculum meets national accreditation standards, as well as ensuring compliance with UW systems and policies. The Specialist will also manage and provide training to students, faculty and staff in the use of E*Value, the SOM's health care education management system as well as internal reporting systems to implement, monitor and report on SOM curriculum and programs.
The primary responsibility for the Clinical Curriculum Specialist in the Office of Curriculum School of Medicine (SOM) is to provide program management of key clinical programs essential to ensure compliance with the Liaison Committee for Medical Education (LCME) requirements as well as university systems. Using independent judgement and decision-making, this position utilizes their specialized knowledge of university policy and LCME guidelines to establish policies, methods, and procedures for tracking student completion of key requirements in their clinical phase. This role also advises students, faculty, and staff in academic planning, policies, and procedures for CLINICAL CURRICULUM. The Clinical Curriculum Specialist reports directly to the Assistant Director of Clinical Curriculum and works closely with the Vice Dean for Rural, Regional and Academic Affairs, the Associate Dean for Curriculum, the Washington, Wyoming, Alaska, Montana, Idaho (WWAMI) Clinical Regional Deans, UW School of Medicine Registrar, Director for Curriculum, Manager for Foundations Phase in the Curriculum unit, clerkship directors and staff, department chairs and faculty across all the health science disciplines, Dean's Office directors, managers and staff, and the University Curriculum and Registrar's office. The Clinical Curriculum Specialist serves an important role ensuring compliance with curriculum policy from both the UW and the SOM's governing body, the Liaison Committee on Medical Education. The Specialist utilizes their specialized knowledge of university policy and LCME guidelines to establish policies, methods, and procedures for the program. The Clinical Curriculum Specialist engages in critical communication between the UW Curriculum Office and the Office of Academic Affairs, the six WWAMI Regional Dean's Offices, and the school's regular and clinical faculty, staff and medical students throughout the WWAMI region to ensure this compliance.
DUTIES AND RESPONSIBILITIES
The Clinical Curriculum Specialist performs administration central to the management of the UW SOM including curriculum administration and implementation, systems maintenance, project management and process improvement. The Clinical Curriculum Specialist is responsible for advising and training students and departmental staff to utilize UW curricular systems (MyUW, UW Time Schedule, Kuali), and the SoM health care education management system (E*Value) to provide congruent curriculum delivery across six universities, five of which offer semester schedules, and one (UW) on a quarter schedule. The Curriculum Specialist acts as the subject matter expert in university, school and department rules that govern various course/clerkship programs within the CLINICAL CURRICULUM.
Program Management:
• Centralized management of the WWAMI-wide State Track program, manage the student application process for 9 different sites across the 5-state WWAMI region with impacts to almost 1/3 of the student body. Management duties include monitoring and reporting on application statistics and outcomes, coordinate and lead efforts with Assistant Dean of Clinical Curriculum, SOM Registrar, and Regional Deans and Administrators to ensure ongoing process improvement for the program.
• Administration of the application process for the Track Program, a SOM clinical scheduling option. Advise students, staff, and faculty on policies and procedures related to Track, troubleshoot individual student issues with Track acceptance. Advise and participate in quality improvement of process and program.
• Oversight and administration of Special Assignment Elective application process. Advise medical students on curricular policies and set-up of Special Assignment Electives and independently resolve issues related to UW and away institution registration policies. Participate in quality improvement of away elective policy, application materials and communication strategies.
• Senior level management of School of Medicine grade appeal committee for foundations and clinical phases of the curriculum. This is a highly confidential committee to decide student grade appeals which requires a high level of discretion in communication and record keeping. Administration of annual committee membership renewal process. Partner with Appeal Committee Chair and Assistant Dean for Curriculum for ongoing process improvement of Committee policies, procedures, and communication to students, faculty, and staff. Advise committee chair and committee members on rule of order. Follow through on action items in consultation with committee chair to manage correspondence to student, clinical clerkship director and department chair.
• Develop and ongoing management of a system for eight SOM departments to track and report student clinical patient encounters in the clinical phases of the curriculum to meet LCME accreditation standards and keep the UWSOM in compliance. Independently analyze, report and resolve discrepancies in clinical encounter data. Report clinical encounter data on a quarterly basis to the School of Medicine Patient Care & Explore and Focus Committees. This role is responsible for ongoing improvements to reporting technology, training users of reporting system, troubleshooting and partnering with technology learning Assistant Director to resolve any problems.
• Develop and ongoing management of a system to track and report UW Time Schedule errors in the clinical phases of the curriculum to ensure compliance with UW. Independently analyze, report and resolve discrepancies in Time schedule data with departments.
• Management and administration of the twice-yearly Clinical Curriculum retreat, working with Clinical Curriculum team to develop goals, agendas, and next steps from retreat outcomes.
• Independently advise medical students, faculty and staff on SoM curriculum requirements/policies (School, Programs, Departmental, UW, etc.); interpret policies. Provide feedback at SoM leadership meetings for continuous improvement to curriculum policy.
• Participate in SoM leadership meetings and curriculum committee meetings related to SOM CLINICAL CURRICULUM providing expertise on CLINICAL CURRICULUM policy and procedures.
• Advise and train students, faculty and staff in use of healthcare education management system (E*Value), to maintain academic records for students. In consultation with the Assistant Dean of Clinical Curriculum, advise and identify roadblocks and areas of improvement in E*Value for curriculum scheduling, set-up, and content.
UW and SoM System Management:
• Utilize E*Value healthcare education management system to enter SOM department clinical clerkship details for 19 clinical departments.
• Using E*Value data, independently compile SOM internal reports and external reports for accreditation and legislative agencies at the direction of the Assistant Director of Clinical Curriculum, Director of Curriculum, Registrar, SOM deans and curriculum committees.
• Design and update CLINICAL CURRICULUM sections of UW Medicine Education website to maintain congruence with curriculum changes and improvements.
• In conjunction with Assistant Dean of Clinical Curriculum, development and maintenance of a Staff & Faculty-facing website to provide programmatic processes, procedures, and overall guidance for CLINICAL CURRICULUM program requirements.
• Work in partnership with the Assistant Director of Clinical Curriculum, Registrar and Office of Academic and Learning Technology to continually improve the quality, access, and repository of curricular material; including design, develop, and incorporation of curriculum catalog into a useful, searchable, and easily updatable document with web presence.
MINIMUM QUALIFICATIONS
• Bachelor's degree with at least 2 years administrative experience.
Additional requirements:
• Excellent oral and written communication and organizational skills.
• Experience in a team-based, collaborative work environment.
• Demonstrated experience working in large, highly structured environments.
• Advanced skills with Microsoft Office, including Word, Excel, and PowerPoint.
• Demonstrated experience in data processing operations.
• Experience with web site development, software, implementation and maintenance.
Equivalent education and/or experience may substitute for minimum requirements.
DESIRED QUALIFICATIONS
• Background in healthcare administration, higher education, or medical education.
• Experience with education systems, and Canvas learning management software.
CONDITIONS OF EMPLOYMENT
The position frequently requires the employee to work beyond a normal work week (e.g., more than 40 hours a week) and intermittently requires evening and weekend time to meet project deadlines and attend meetings.
