Job Description
Under the general supervision of the Lead Administrator of Ambulatory Care Services, the Clinical Business Analyst Lv. 2 is responsible for designing, reviewing and maintaining scheduling templates to ensure accuracy, completeness, and adherence to establishment standards in the Ambulatory Care Clinics; overseeing the production of reports to support data-driven improvements; and overseeing the revenue capture activities.
Job Responsibilities:
Template management
- Serves as Template Super User, and act as liaison between Bellevue Clinics and enterprise-wide Office of Ambulatory Care as well as with EPIC support.
- Oversee the standard development of templates and supervise Template Manager(s).
- Develop standard work for template maintenance including overbooking, blocks, templates creation or adjustments, and provide training refreshers for staff as needed.
- Monitor use of template visit types in departments and provider resources.
- Design, review and maintain scheduling templates and appointment reports to ensure accuracy of physician schedules.
- Notify appropriate administrative staff about template errors and correct errors or refer to clinic Managers for correction.
- Maintain record of requested provider leave request as related to template adjustments, monitor leave request to determine impact on patient access.
- Create reports of template changes to identify services or providers with frequent template changes for escalation to Clinical Director and Ambulatory Care Lead Administrator.
- Create and maintains monthly clinics schedules and room assignments.
Data management
- Oversee the standard development of Practice reports and supervise Data Manager.
- Oversee the extraction, compilation and distribution of weekly (or on demand) reports on volume, appointment availability, fill rate, and no-show rate for all clinics.
- Provided data for and participate in performance improvement projects.
Work queues
- Oversee revenue capture activities for Ambulatory Care to ensure continuity and consistency of reconciliation processes, and supervise Revenue Capture point Person.
- Participate in revenue tracker calls to represent Practice issues with charges.
- Reconciling charges on a daily basis for the previous day.
- Monitor the Revenue and Usage, Enterprise Encounter Charge Reconciliation, and Clinical Charging reports.
COVID Vaccine Clinic & COVID Test Center
- In collaboration with the Lead Administrator, identify and effectively address operational, administrative and financial concerns pertaining to assigned clinical service areas; daily operations management of assigned areas and associated programs.
- Collaborate with the Clinical Director/lead attending physicians and assistant director(s) of nursing for assigned patient care service areas, to continuously monitor and address issues related to patients’ access, experience and flow; support the clinical delivery of service including administrative support and supplies.
- Recruit, supervise, train and evaluate navigators in assigned service areas and/or programs; coordinate training and workflow activities.
- Collect service performance outcomes/statistical data; prepare and communicate service performance statistics to clinical partners and leadership; Ensure accuracy and reliability of data collection and reporting.
- Participate in daily huddles; ensure ongoing communications of information relevant to improving service performance.
- Ensure timely investigation, resolution and response to internal and external customer inquiries and/or complaints.
- Ensure compliance with all regulatory including CDC, NYSDOH & NYCDOH requirements.
Minimum Qualifications
1. A Masters degree or advanced clinical degree from an accredited college or university and one (1) year of experience gathering and documenting business, clinical, and/or functional requirements using interviews, document analysis, workshops, surveys, site visits, business process descriptions, scenarios, business analysis, task and workflow analysis or related in a clinical, allied health, non-allied health, behavioral health, information technology, information services, business, analytics or related area; or, one (1) year of experience in a relevant clinical and/or healthcare administration role/function; or
2. A Baccalaureate degree from an accredited college or university and three (3) years of experience as described above; or
3. A satisfactory combination of education, training, and experience.
4. Specialty certification(s) issued by a national commercially available program, state, professional society, academic or technical institution in an area(s) listed above, may be credited on a month-to-month basis toward the required work experience for a total of one (1) year.
