CLIENT SERVICES REPRESENTATIVE

Job Summary: Precision Plus is seeking a dynamic, friendly, and highly organized Client Services Representative with a primary focus on elevating our CLIENT SERVICES within our machine shop environment. In this role, the ideal candidate will not only ensure the seamless operation of our front desk and manage visitor interactions but will also play a pivotal role in providing exceptional service to our valued clients. The emphasis of this position is on cultivating and maintaining strong client relationships by engaging with customers, monitoring and updating them on order statuses, and actively contributing to forecasting for future months.

Essential Duties & Responsibilities include but are not limited to:

• Client Interaction:
  • Proactively engage with customers to check the status of orders and provide updates.
  • Assist customers via email or telephone with inquiries, resolving issues, and ensuring overall satisfaction.
  • Collaborate with the production team to obtain accurate information regarding order status and timelines.
• Order Monitoring:
  • Keep track of customer orders and shipments.
  • Assist in processing of repeat client purchase orders.
  • Work closely with the production team to ensure timely delivery and address any potential delays.
  • Update customers on the progress of their orders and manage expectations.
• Forecasting and Planning:
  • Collaborate with the sales and production teams to gather information for forecasting.
  • Assist in developing and maintaining accurate forecasts for future months.
  • Provide regular updates on forecasted orders to the sales and production team.
• Front Desk Management:
  • Greet and assist all visitors, ensuring a professional and welcoming environment.
  • Maintain a clean and organized front desk area.
  • Direct and assist visitors in a courteous and efficient manner.
• Telephone Handling:
  • Answer and effectively manage incoming phone calls promptly and professionally.
  • Direct calls to the appropriate department or personnel.
  • Take detailed messages and ensure timely communication to the relevant parties.

Skills & Qualifications:

• 3-5 years of proven experience in a customer service role.
• Previous experience in a manufacturing or machine shop environment is desired.
• High school diploma or equivalent; additional certifications or coursework in administration or customer service is a plus.
• Previous experience using an ERP system is desired. If no previous experience, this individual should be willing to learn our software and prove their ability to catch on quickly to new technology.
• Strong computer skills with demonstrated accuracy in typing & data entry.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook).
• A strong desire to learn the Company’s manufacturing processes to help aid in understanding the part flow throughout the building.
• Exceptional interpersonal and communication skills that will help build sustainable relationships of trust both internally and externally.
• Ability to solve problems through creative thinking and develop confidence to make independent decisions and recommendations for continuous improvement.
• A positive, “can do” attitude with a genuine spirit for teamwork and collaboration.
• Strong organizational skills with keen attention to detail.
• Ability to multitask and prioritize responsibilities effectively.
• Knowledge of basic office equipment and procedures.

Work Schedule:

• This is a full-time, non-exempt, benefits eligible position.
• Scheduled work hours are Monday to Friday, 7:00 AM to 3:30 PM (40 hours/week).
