Job Description
We are an investment and retirement planning firm in Eden Prairie, MN dedicated to family values that serves a strong base of conservative clients. We are seeking candidates for a Client Service Associate. In this position, you will help us deliver excellent Client Service, keep the office running smoothly, and help us dazzle clients and prospects.
You will be in charge of answering the phone, managing email, scheduling, preparing needed paperwork, and regularly following up with prospects among other things. You have a positive attitude, you are joyful, and efficient, and are fine working independently. This person must have excellent communication skills and have a professional demeanor.
Depending on your needs, hours can be from 32/week or 40/week.
Responsibilities & Activities:
- Answers phone in a positive, friendly, and professional way
- Manages email and ensures emails are responded to.
- Prepares new account and transfer paperwork for meetings
- Greet clients and make them feel comfortable when they visit our office
- Provide great customer service
- Schedules appointments for advisor and manages Calendly scheduling system
- Makes outgoing follow-up calls to prospects on our mailing list
- Manages our marketing calendar and plans and coordinates client events
- Prints and mails monthly client newsletter
- Orders and handles office supplies
- Develops and maintains written systems of all activities
- Compile meeting notes, review after client meetings and enter tasks into CRM while ensuring tasks are assigned to the correct team member.
- Assist with meeting preparation, updating client financial history, Circle Chart, and running reports.
- Manages compliance checklist and calendar and ensures progress is tracked and completed.
- Maintain, order, and buy office supplies and complete work-related errands as needed.
- Organizes paperwork both physically and electronically
- Assists advisors in keeping documents organized and offices neat and client-ready
Qualifications:
- High School diploma required. Bachelor’s degree preferred.
- Highly organized.
- One or more years of experience with Schwab paperwork. Open to experience with other custodians, but Schwab is preferred.
- Happy and joyful
- Proactive with strong organizational skills; must be able to organize papers effectively in binders, files, and folders.
- Demonstrated ability to set priorities and work independently.
- Trustworthy, ethical, appreciative, hard-working
- Exceptional verbal and written communication skills. Must know how to give outstanding Client Service while answering phones and helping current and prospective clients.
