Job Description:
We are seeking a dedicated and organized individual to join our pediatric therapy practice as a Client Care Coordinator. This part-time position plays a crucial role in maintaining the smooth operation of our clinic, which specializes in delivering comprehensive ABA, speech, and occupational therapy to children aged 2-14. The Client Care Coordinator will be responsible for ensuring a welcoming and organized environment for clients and their families, as well as for our clinical staff.
Key Responsibilities:
- Oversee the overall organization and cleanliness of the clinic to ensure a conducive therapy environment. This includes maintaining therapy rooms, common areas, and ensuring all supplies are stocked and readily available for therapists.
- Act as the first point of contact for potential and new clients and families, providing them with a warm welcome and necessary information about our services. This may include answering phone calls, responding to emails, and greeting visitors.
- Attend to Client Care needs promptly and with a compassionate approach, ensuring a positive experience for children and families. This may involve assisting with scheduling appointments, addressing billing inquiries, and providing general support.
- Assist clinical staff with various tasks as needed to facilitate efficient and effective therapy sessions. This may include setting up therapy materials, preparing therapy rooms, and supporting therapists during sessions.
- Coordinate with the administrative team to manage scheduling, client records, and other operational aspects of the clinic. This includes inputting client information into our system, maintaining accurate records, and ensuring compliance with clinic policies and procedures.
Requirements:
- Excellent organizational and interpersonal skills are essential for this role, as the Client Care Coordinator will be responsible for maintaining a well-organized and welcoming clinic environment.
- A compassionate and patient-focused approach is crucial in working with children and their families. The ability to provide support and care in a sensitive and understanding manner is key to creating a positive experience for clients.
- Previous experience in a clinical or office management role is preferred but not required. Training will be provided to the successful candidate to ensure they have the necessary skills to excel in this position.
- Flexibility to assist with a variety of tasks in a dynamic, pediatric therapy setting is important, as the Client Care Coordinator may be required to adapt to changing priorities and assist with different responsibilities as needed.
- Proficient in office software applications, such as Microsoft Office Suite.
- Attention to detail and accuracy in data entry and record keeping.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
