Job Summary:
The Claims Coordinator is responsible for effectively and efficiently tracking and processing all claims – this includes workers’ compensation, auto and property insurance claims. Individual will be responsible for gathering data, evaluating claims, communicating with stakeholders and insurance examiners, and ensuring legal compliance. This position will also be responsible for fulfillment, tracking and maintaining of requests for Certificates of Insurance (“COIs”), as well ensuring third-party COIs and Owner Controlled Insurance Program (OCIP) enrollment. Individual will contribute to maintaining a safe work environment while safeguarding the interests of Plastic Express and its employees.
Essential Functions/Duties:
  • Oversee and navigate the complete lifecycle of workers’ compensation claims, guaranteeing precise and punctual resolution. This includes maintaining incident and claim information in the EHS-Insight information system, as well as the Luminos/RISX FACS Portal.
  • Evaluate and assess workers’ compensation claims submitted by injured employees.
  • Determine the validity of claims by working with the EHS Directors investigating the circumstances of the injuries and reviewing relevant documentation.
  • Liaison with medical professionals, legal teams, and other stakeholders to assess the extent of injuries and determine appropriate compensation.
  • Investigate, address, and resolve any disparities or inconsistencies in the handling of claims.
  • Communicate with injured employees and their supervisors, medical providers, legal representatives, claims adjusters, and other relevant parties to gather information and provide updates on claims.
  • Provide clear and accurate information to employees concerning their benefits, rights, and responsibilities throughout the claims process.
  • Oversee claims encompassing multiple states, guaranteeing adherence to distinct state regulations and insurance claim laws. Stay updated on claims laws, regulations, and guidelines in each state where the company operates.
  • Understand the differences in requirements, benefits, and processes among different states to ensure compliance and accuracy.
  • Partner with third-party administrators, medical providers, legal representatives, and other service providers to streamline the claims processing procedure.
  • Liaison with VP of People and Culture to verify that settlements align with legal mandates and company protocols.
  • Record all claim-related information meticulously in risk management information system.
  • Adhere to strict confidentiality and ethical standards when handling sensitive claim information.
  • Analyze claims data to detect patterns and possibilities for enhancing the claims tracking and processing procedures.
  • Implement process improvements to enhance efficiency, accuracy, and overall effectiveness of tracking and processing claims.
  • Track and manage the complete lifecycle of first-party and third-party auto and property insurance claims associated with accidents and incidents involving Company employees, assets, and facilities. Management includes communication and coordination with internal stakeholders, safety investigators, claims examiners, insurance resolution managers, legal counsel, and third parties.
  • Coordinate closely with EHS Directors to ensure timely and accurate reporting of accidents and incidents to appropriate Captive insurance resolution managers via established systems.
  • Periodically update Company leadership on the status of WC/Auto/Property claims in terms of anticipated and actual costs. Make recommendations regarding problematic claims and potential litigation.
  • Stay current on industry trends and effective practices to improve/refine processing and tracking claims. Attend periodic Captive sponsored workshops and conferences.
  • Collaborate in recognizing workplace dangers and safety risks to proactively avoid future incidents and claims.
Qualifications: 
Required Education and Experience
  • College degree or equivalent experience
  • Minimum of 3 years of claims management experience, preferably in transportation and warehouse operations.
  • Working knowledge of the Workers’ Compensation Act and other applicable state/federal statutes and regulations

  • This position requires occasional lifting and moving of items up to 25 lbs.
  • Requires remaining in the seated position for prolonged periods of time.
  • Requires repetitive motion of hands.
  • Clarity of vision at 20 inches or less.
  • Must be able to fulfill essential job functions in a consistent state of alertness and safe manner.
Licenses/Certificates:  
  • Associate in Claims (AIC) or equivalent
  • Associate in General Insurance (AINS) or equivalent
Skills:   
  • Attention to detail and thoroughness of work completed; timely execution of deliverables
  • Positive attitude and ability to manage multiple tasks at once
  • Build relationships and maintain them with all levels of employees and external contacts
  • Communication skills (verbal and written both English and Spanish preferred to ensure effective communication with all employees)
  • Problem-solving, networking, and negotiation skills
  • Accountability for data reported, and ability to manage time effectively with minimal supervision
Additional Job Details:
Supervisory Responsibility:  None
Work Environment: 
Expected to operate in an office environment.  May be required to walk in/through a warehouse and/or truck yard.
Position Type/Expected Hours of Work: 
This is a full-time position. Days and hours of work are 7:30 am to 4:30 pm, Monday through Friday.   
Travel:  Periodic travel will be required to attend relevant Captive-sponsored conferences and workshops
