Location: Hybrid schedule; Must be local to Clayton County
Terms: Full time
Salary/rate: $80,000

About us: The Hand, Heart, and Soul Project (HHSP) promote healthy habits for our earliest learners in Clayton County. We provide children and families access to nutrient-dense foods and we develop holistic programs focused on health, wellness, education, and nutrition. Our mission is to nurture, celebrate, and advance the needs of the people we serve by creating equitable access to quality educational, nutritional, and community resources.

Hand, Heart, and Soul Project's work is highly interdisciplinary. It sits at the intersection of education, health, wellness, and advocacy while ensuring those most affected by the policy are in decision-making spaces. Our model is one of collective impact that focuses on cross-collaboration which aligns community members, leaders, organizations, and institutions to go beyond sustainable solutions, but thriving and meaningful solutions.

About the role: The Chief of Staff plays a crucial role in supporting the overall mission and strategic objectives of Hand, Heart, and Soul Project. This position involves working closely with the Executive Director and other senior staff to ensure effective leadership, management, and implementation of organizational programs and initiatives.

The Chief of Staff will oversee various aspects of supporting the logistics and financial development of the organization, interactions with colleagues, and supporting the Executive Director. The Chief of Staff will ensure that the Executive
Director constantly remain in touch with their company. The Chief of Staff will do this by overseeing on the ground daily duties, working closely with Grants and
Database Administrator, interacting closely with Assistant Directors and team members, and identifying and addressing any issues that may arise. The Chief of
Staff is also responsible for filtering key information as it gets shared up through executive ranks in addition to fostering a culture of care throughout the organization.

Responsibilities: Human Resources 40%:
● Align HR initiatives with the overall goals
● Oversee the development and implementation of Staff hiring, onboarding, and exiting procedures; maintain staff records.
● Provide all HR support and integrations including payroll, updating of employee manual, policies, interactions with affiliated agencies, etc.
● Supervise and support program managers and staff.
● Foster a positive and inclusive work environment.
● Encourage professional development and growth.
● Provide leadership for performance management policies and practices that center equity and support staff dignity.
● Lead planning for staff-wide team and capacity building activities
● Ensure compliance with all federal and state programs including Snap-Ed,

DECAL, etc.
● Support background check requirements and enrollment of Staff
● Manage the monthly staff satisfaction survey; address relevant suggestions and requests.
● Ensure staff have access to and are aware of personnel policies, including benefits available; develop and oversee supplemental HHSP policies.
● Communicate any critical personnel-related issues to the Executive

Directors; support resolution as needed.

General Operations 40%:
● Oversee the planning, implementation, and evaluation of programs and projects.
● Ensure programs align with the organization's mission and goals.
● Monitor and report on program outcomes and impact.
● Collaborate with the Executive Director to develop and implement the organization's strategic plan.
● Provide leadership in the absence of the Executive Director.
● Contribute to the development of organizational policies and procedures.
● Develop and update internal process to ensure overall organizational efficiency and success.
● Assist in budget development and financial planning.
● Monitor financial performance and ensure compliance with budgetary guidelines.
● In conjunction with Grants and Database Administrator, identify, purchase, and maintain organizational systems (Dropbox, Google Suite) and equipment (computers, software) used by staff.

● Work with ED to collaborate with stakeholders to operationalize contracts and processes.

● Manage HHSP’s contracting process (consultants, events) and advise staff on contract set-up and monitoring.

● Lead planning and implementation of HHSP quarterly and in person staff meetings; provide support for programs, policy, and partnership meetings as needed, at the direction of the ED

● Provide support for HHSP’s signature events including partner and other meetings, the Southern Roots, etc, as directed by the ED.

● Review and approve staff timesheets. Ensure federal time tracking and lobbying reports are completed.

● Manage HHSP calendars including the “Priorities” and “Birthdays” calendars.

Development 20%:
● Strong grant writing skills
● Ability to secure grants
● Collaborate with the Executive Director to identify funding opportunities.
● Participate in fundraising efforts, donor relations
● Contribute to the development of fundraising strategies.

Qualifications ● Content knowledge in racial and social equity principles and ability to apply principles in practice.

● Self-motivated, demonstrating leadership skills.
● Sound judgment and critical thinking.
● Collaborative nature, skilled at developing good working relationships with all staff, partners, and contractors.
● Exceptional trouble-shooting and problem-solving skills, ability to resolve issues proactively and creatively.
● Excellent time management and organizational skills.
● Strong oral and written communication skills.
● Ensures completeness, accuracy, and timeliness in all work.
● Passion and interest in HHSP’s mission and activities.
● Several years of experience in non-profit management or a related field.
● Strong understanding of progressive issues and commitment to the organization's mission.
● Excellent leadership and interpersonal skills.
● Experience in strategic planning, program management, and team supervision.
● Demonstrated success in fundraising, grant writing, and donor relations.
● Knowledge of financial management and budgeting.

Education and ● At least 5 years of demonstrated success in the following:
Work Experience o Human resources and dashboard (performance) management o Grant writing o Funder and donor relations o Managing salary allocations and time tracking o Budget development and monitoring o Developing and managing systems and processes o Events management, including virtual and in-person events

Hiring Process and Timeline
