KIPP Metro Atlanta Schools is part of the KIPP (Knowledge is Power Program) national network of free, open enrollment, college preparatory schools dedicated to ensuring that every child grows up free to create the future they want for themselves and their communities. There are 280 KIPP schools in 21 states and the District of Columbia serving more than 175,000 scholars and alumni. KIPP Metro Atlanta currently operates 11 schools including five primary schools, six middle schools and one high school, as well as KIPP Forward which supports scholars on their journey to a choice-filled life. Job Overview

Reporting directly to the Chief of Staff, the Deputy Chief of Staff (DCoS) provides executive support to the Chief Executive Officer (CEO) and the Chief of Staff (CoS), provides critical thought partnership, organizes and coordinates executive outreach and oversees special projects. The Deputy Chief of Staff also serves as the primary liaison between KIPP Metro Atlanta Schools and the KIPP Metro Atlanta Schools Board of Directors and is responsible for working with the CEO and CoS to promote effective Board governance and collaboration with the Board. The Deputy Chief of Staff will also work with the Chief of Staff to create the annual scope and sequence for Board Meetings and will be responsible for project managing all Board Meetings while serving as the Board Secretary.

Job Responsibilities:

Executive Support 50%

  • Completes a broad variety of administrative tasks for the CEO including; managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that are sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

  • Manage the Chief Executive Director’s calendar and plans, coordinates and ensures that the CEO’s schedule is followed and respected. Serves as a "gatekeeper", creating a win-win situation for direct access to the CEO’s time

  • Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense of the issues taking place in the environment and keeping the CEO updated

  • Arrange and book travel for the Chief Executive Officer

  • Researches, priorities, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature; determines appropriate cause of action, referral, or response

  • Prioritizes conflicting needs; handles matters proactively, and follows through on projects to successful completion, often with deadline pressure.

  • Facilitate signatures for all KIPP Metro Atlanta Schools regional needs, including gift acknowledgment letters, financial documents, and compliance documentation.

  • Prepare and submit weekly SunTrust financial reports and monthly reimbursement forms and process invoices and payments for vendors.

  • Manage contacts and voicemail correspondence for the CEO

  • Provide support for other projects and tasks as requested by the CEO

  • Proactively develop systems to increase the organization and efficiency of the CEO

Board Strategy & Planning 50%

  • In consultation with CEO and CoS, provide strategic though partnership related to Board engagement, oversight and support

  • Serve as a key advisor to the CEO, CoS, and committee liaisons on internal and external issues related to the Board, its governance and its operations

  • Serve as an initial point of contact for Board Members and communicate directly, and on behalf of the CEO, with Board members, Foundation staff, and others, on matters related to CEO’s programmatic initiatives

  • Manage scope and sequence for Board Meetings and serve as project manager of Board Meetings ensuring that all necessary actions and deliverables are completed for effective Board Meetings

  • Serves as Board Secretary for KIPP Metro Atlanta Schools Board

  • Coordinate and attend all Board and Committee Meetings

  • Ensure timely preparation of materials and communication for all Board and Committee Meetings

  • Ensure compliance with all relevant statutes and regulations related to Board Member Conduct

  • Serve as the staff committee lead for the Committee on Directors and Executive Committee, managing meeting schedule and working with the Committee Chair to drive Committee work

  • Coordinate all logistics related to Board Meetings, including location, materials, technology, and food

  • Ensure timely updates of Board materials on the regional website

  • Maintain Board Dashboard, keeping contact information up to date and available

  • Partner with CoS to post all board and committee meeting agendas 48 hours before meetings in order to ensure compliance; work with the Marketing and Communications Manager to ensure timely updates of board materials on the regional website.

Additional Information

Compensation & Benefits:

Compensation for this role is between $115,000 - $125,000. The starting pay will depend on various factors that may include but are not limited to professional experience, education, training, and certifications.

Location & Work Conditions:

This position requires candidates to be based in Atlanta and regularly be in schools and able to attend in person meetings and events. Additional in person time may be necessary based upon organizational needs.

  • Bachelor’s Degree required, Advanced degree preferred

  • Experience supporting C-Level Executives in a non-profit organization preferred

  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook)

  • Excellent written, oral, and verbal communication skills with an ability to tailor communications appropriately to audiences

  • Detail-oriented, exceptionally efficient, strong time management skills, and strong ability to prioritize and work independently and under pressure

  • Strong project management skills, PMI certification preferred

  • Strong ability to create, maintain, and organize files and records systems–strong organizational skills are critical to success in this role as is strong time management

  • Ability to multi-task and work in a fast-paced, demanding work environment

  • Exceptional work ethic and flexibility to work long hours, if needed

  • Professional, friendly, and adaptable personality that works well with others and is open to feedback
