Job Details
The Chief Business Operations Officer (CBOO) is responsible for ensuring quality, reliability, and efficiency within and among all business departments, as well as across the organization. This responsibility is carried out via oversight and effective management of team members, technology, and processes. The CBOO works to ensure that our internal practices are consistent with our Mission, Vision, Values, and Strategic Goals, as well as maintaining compliance with all applicable external regulations and laws.
Primary Goals:
- Keep apprised of all pertinent laws and regulations.
- Provide Subject Matter Expertise and guide team members in compliance and decision-making.
- Work within Leadership to shape, clarify, and implement Strategic Goals, including Key Performance Indicators.
- Streamline internal processes and procedures, with a continuous improvement mindset.
- Lead implementation of Organizational Change Initiatives, ensuring open and clear communication, team engagement, and buy-in.
- Oversight of the core business departments, as outlined below:
Key Deliverables:
Has a proactive attitude and is a self-starter.
Maintains Subject Matter Expertise within the fields of oversight, and serves as knowledge base, and as resource for escalated issues.
Works within Leadership to define, clarify, communicate, and implement Strategic Goals.
Contributes innovative ideas and plans for accomplishing Strategic Goals.
Gains a solid understanding of how data flows throughout the Firm.
Maintains documentation of workflows to maintain clarity on team member responsibilities and cross-departmental dependencies throughout the Firm.
Audits and monitors the accuracy, security, and accessibility of information assets within the Firm.
Identifies key areas for addressing gaps and threats to Firm informational assets.
Identifies where gaps, bottlenecks, redundancies, and deficits occur in the flow of data, processes, workload, and task management throughout the Firm.
Works toward continuous improvement in the efficiency and timeliness of data flow within the Firm.
Keeps current training on internal and third-party technological tools and applications, to ensure that the Firm is leveraging our resources in the most effective ways and that we are configured to maximize success.
Configures and improves software tools and integrations in order to streamline the flow and availability of data, as needed.
Collaborates with internal and third-party IT vendors to ensure tools and processes are in place that maintain high levels of security. Compliance, and accessibility for all data and technological assets.
Designs, updates, implements, and monitors improved processes, including automations, where valuable.
Creates, documents, and trains end users on data and software best practices and procedures with a focus on productivity, accuracy, efficiency, reliability, and security.
Creates internal communication hub for employees to rely on the most up-to-date core Firm documentation and guidance.
Creates internal documentation of core Firm values, practices, procedures, etc. where beneficial.
Creates procedures for maintaining and monitoring quality.
Protects company assets and confidential information in accordance with company policies and procedures. Including, but not limited to, clients, team member, and proprietary company information.

Supervision includes, but not limited to:
- Ensuring all team members have clear, reasonable, and fair expectations, goals, and responsibilities.
- Ensuring proper training of all team members, as required by their job roles and duties.
- Providing direct, radically honest, respectful communication (with adherence to confidentiality expectations as applicable).
- Ensuring that team members are complying with all applicable laws and regulations.
- Monitoring that internal procedures and policies are being followed with consistency.
- Acting as a conduit to relay concerns and issues from team members to leadership, and relaying updates, sentiments, and directives from leadership to team members.
- Being a resource for team members to reach out to with questions, concerns, and issues.
- Identifying and working to remove or overcome obstacles that prevent or limit team members’ ability to ensure successful outcomes.
- Providing timely feedback to team members (both reinforcing feedback and constructive criticism).
- Providing supportive encouragement and fostering an environment in which the employees can thrive and grow.
- Striving for a culture where employees feel valued, recognized, and appreciated for their contributions.
- Ensuring that the organization’s human resources are utilized in the most efficient, cost-effective, and value-aligned manner.
- Responding to requests for approvals (PTO, UTO, purchases, exceptions to policy, etc.).
- Conducting annual performance reviews.
- Hiring team members, transitioning team members where beneficial, and terminating team members when necessary.
- Serving as backup if urgencies arise.
