Job Description:
LEAD INVENTORY COORDINATOR:
I. PURPOSE OF JOB:
Responsible for day to day management of supplies, equipment, and inventory
supplies. Responsible for purchasing, consignments, vendor calls,
evaluations, cost analysis and comparisons of all supplies and equipment
Coordination of inservice from vendors on new supplies and equipment.
II. ESSENTIAL FUNCTIONS:
1. Responsible for all supply and equipment inventory.
2. Coordination and evaluation of purchases and consignments.
3. Collaboration with vendors, physicians, Cath staff, Material management and Biomed.
4. Involvement in cost benefit analysis.
5. Serves as a resource for Cath/EP/Vascular staff and physicians on equipment and supplies.
III. JOB CRITERIA AND PERFORMANCE STANDARDS:
1. Responsible for all supply and equipment inventory.
a. Development/ implementation of an inventory system to include review of
inventory/removal of obsolete equipment.
b. Twenty four hour responsibility for equipment and adequate supplies.
d. Proficient in computer skills.
e. Networks with other hospitals to resolves operational issues for Cath/EP/Vascular supply
inventory.
f. Maintains Contrast Logs in accordance with JCAHO standards.
g. Works with Cath/EP/Vascular Director , Financial Specialist, Cath/EP/Vascular Clinical Manager
and Hospital Accounting to set charges and set up APC Pass Through Codes on product.
h. Maintain accurate records on product used in Cath/EP/Vascular Lab for review at CRT
meeting and monthly evaluations of physician use and trends.
i. Responsible for data collection for CRT committee and distribution of data to committee.
j. Responsible for distribution of interventionalist on call schedule within Doylestown
Hospital and surrounding hospitals
2. Coordination and evaluation of purchases and consignments.
a. Maintain the system of requests for equipment and supplies by physician,
repair maintenance, evaluating of equipment / instruments/ supplies.
b. Maintain accurate records of consigned product on shelves
c. Represents Cath/EP as unit safety officer and Product Evaluation Committee
member.
3. Collaboration with vendors, physicians, Cath/EP/Vasc. staff, Material management and Biomed.
a. Collaborate and facilitate activities with Material Management, MIS, Biomed
and physicians.
b. Provides expertise and coordination for physicians with unique supply and
equipment requests.
c. Ensure products that are used but don't get implanted or if they have a functional issue, item is saved for vendor to evaluate.
4. Involvement in cost benefit analysis.
a. Establish a consciousness regarding fiscal boundaries, structure, and
procedures regarding equipment, supplies, and patient charges.
b. Research of cost/benefits for capital equipment, instrument, supplies.
5. Serves as a resource, internal consultant and trainer for associates.
a. Resource to OR staff and physicians on equipment and supplies.
b. Schedule inservices on new equipment.
6. Collaborates with Sterile Processing to facilitate ordering of instruments.
a. Actively communicate with the sterile processing department regarding instrumentation
and autoclave issues.
Additional Duties for LEAD Inventory Coordinator:
- Oversee and train Inventory Coordinator and Inventory Coordinator assistant
- Work closely with Director and Medical directors for inventory management and cost reduction departmentally.
- Work with the Central Supply Manager throughout to the year to ensure barcodes and inventory processes in place for end of year Inventory cycle counting for Finance reporting.
- Coordinate annual inventory counting process
- Work with finance for budget alignment.
- Meet weekly with Director/Manager to discuss current issues regarding inventory, equipment and instrumentation.
- Working saving monies with vendors
- Identify items on back order or credit hold to address before a shortage
- Collaboration with external vendors regarding costs, service, equipment supplies, negotiate contracts and expectations; negotiates cost savings for hospital.
Job Qualifications:
