Job Description
Summary of Position:
Provide expert event planning services for clients, including menu planning, décor and staffing services. In
addition, outside sales, communicate and coordinate order details to production staff, vendor partners and
customers.
Duties and Responsibilities (including, but not limited to)
Weddings, Special Events & Express Catering:
? Receive and respond to initial wedding reception phone calls and emails
? Continuous customer contact with brides & families regarding all details (menu, service, venue, rentals,
questions etc.)
? Meet with potential brides for wedding food samples to discuss menu, service and event
? Customer Service
o Assists Customers With Menu Selections/Suggestions/Venue Location if requested
o Type & Send Quotes
o Type & Send Confirmations after receipt of deposit (send deposit receipts)
o Type and Send Final Invoice after final guest count is called in.
o Wedding payment ? remind customer one week prior of payment, receive payment, email
receipt to customer
? Continual contact with Venue coordinators; providing them with our menus etc. (min. once/quarter)
? Complete write up of wedding reception regarding food prep, gathering items, food quantities
? Employee Relations
o Hire Event staff
o Schedule Event staff
o Communicates Effectively with employees
? Bridal Shows
? Event follow up email and survey
? Linen orders (review costs, order, receive, submit invoices to accounts payable)
? Rental orders ( if anything needed to rent beyond what we own)
? On Site Weddings: Main coordinator of event and on site for majority of events
o Oversee event from start to finish
o Provide staff with set up diagrams and ?To Do? list during event; communicate with staff our
expectations and policy?s for each event
o Effectively communicate with customer during event
o Effectively communicate with venue staff during event and prior to leaving the venue.
