SUMMARY:

Under the direction of the DVS, analyzes and assures the upmost quality data regarding agency operations. Creates and produces customized reports at the request of management, directly processes client service authorizations and referrals; maintain case management software. Provides staff training and presents data as required at meetings; maintains clients’ electronic master files as appropriate. This position is not responsible for hiring, evaluating, disciplining, or coaching staff; nor does this position approve vacation/sick/leave requests.

  3. Ensures client authorizations are appropriately maintained.
  4. Ensures staff are adequately supported with the case management software.

  6. Ensures stakeholders maintain an appropriate understanding of agency efficacy.
  1. Be a role model to all staff by using knowledge of Basic Principles and People First philosophies.

AUTHORITIES:

Operations Analyst is authorized to:

  1. Maintains case management software in an efficient manner.
  2. Schedules, conducts, and documents case management software training for staff.
  3. Schedules, conducts, and documents meetings regarding agency operations data as required and requested.

DUTIES – CASE MANAGEMENT:

Reviews, processes, and maintains all client Purchase of Services for accuracy; reports any inconsistencies to appropriate case management staff, to include supplemental billing.

Reviews and processes all client referrals, intakes, and pending statuses for accuracy; reports any inconsistencies to appropriate case management staff.

DUTIES – COMPUTER PROGRAMMING:

Create and maintain all employee user accounts and permissions therein, in the case management software.

Maintains case management software in compliance with required entities (e.g., CCL, CVRC, etc.)

DUTIES – ADVOCACY:

Demonstrates ongoing knowledge of current industry philosophies, laws, regulations, standards, policies, procedures, et cetera that affects the field of developmental disabilities.

DUTIES – ANALYSIS:

Provides regularly scheduled (i.e., daily, weekly, monthly, quarterly, annually) or impromptu operations analysis reports as required and requested.

Maintains updated agency funding rate sheets to ensure accuracy and notifies program oversight team of any changes.

Provides feedback to program oversight staff regarding the efficacy of the case management software.

Produces agency movement and special incident reports monthly for program oversight team and semiannually for the Board of Directors


Provides data and analysis for quarterly PSR (Periodic Service Review) reviews conducted by key staff.

DUTIES – TRAINING:

Produces and maintains (based on semiannual review) all training content (i.e., videos, “How To” primers) for case management software; conducted training, as necessary.

DUTIES – GENERAL:

Perform other duties as assigned to ensure efficient operation of the program and/or agency.

SUPERVISORY RESPONSIBILITIES

This position does not directly supervise any staff. Responsibilities may include training, planning, and assessing work, addressing complaints, and resolving problems regarding agency case management software.

QUALIFICATIONS:

EDUCATION and/or EXPERIENCE:

Post-compulsory degree in Computer Science or related field preferred and a minimum of 1 year experience working with operational data.

LANGUAGE SKILLS:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to draft reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of appropriate agency stakeholders.

MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage. Ability to manipulate and calculate dates.

REASONING ABILITY:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of instructions dealing with several variables. Ability to exercise critical thinking skills and employ creative problem-solving solutions.

CERTIFICATES, LICENSES, REGISTRATIONS:

Must possess a valid California Driver’s License, auto insurance, good driving record.

OTHER SKILLS:

Required proficiency in the following: Microsoft Office Suite (primarily Word, Excel, PowerPoint, Outlook, Teams).

Ability to understand and write SQL queries preferred.

Ability to understand and write HTML preferred.

Ability to understand Microsoft VBA preferred.
