Key Duties and Responsibilities

The key duties and responsibilities of the Clinic Administrator include, but are not limited to:

  • Work closely with the Managing Partners and physicians to strategically orchestrate the Care Centers’ profitable growth, building the infrastructure and industry relationships that allow the Care Centers to continue to flourish in a rapidly changing health care market.
  • Develop and direct short- and long-term plans that translate strategic goals into specific, actionable steps, providing leadership and overall direction for all activities related to administration, teammates, physical office site, information systems, office management and safety.
  • Actively collaborate, working directly with the physician leadership, Central Service Office leadership and the Care Center (s) to accomplish objectives related to initiatives designed to achieve the Proliance mission and vision.
  • Develop annual action plans and annual budgets to inform and support the strategic planning process, including initiatives designed to achieve objectives including appropriate performance metrics.
  • Establish and assume full P&L accountability for their assigned Division’s sites, which includes improving KPIs including patient volumes, accounts receivable management and net income after deduction of operating expenses.
  • Supervise all Department Managers and teammates within the assigned Division’s sites
  • Provides leadership by planning, developing, and organizing all departments, and by implementing, evaluating, and directing the activities of the Leadership Team
  • In collaboration with the VP of Operations, Executive Director and/or Physician leadership as appropriate: Recruitment, hiring, onboarding, performance management, coaching and feedback and employment decisions of direct reports and the Care Center. Establish and promote a rapport in and among departments to promote interdisciplinary decision-making in daily operations
  • Implement organizational policies as directed by the Division’s Executive Committee and/or the Central Service Office.
  • Accept accountability to represent the face of Proliance with outside agencies.
  • Develop smart, cost effective approaches for marketing the Care Centers, in collaboration with the CSO Marketing Director and enhancing their relationships with appropriate hospitals, Care Centers and providers
  • Bring a continuous process improvement approach to each of the lines of business comprising the Care Center
  • Manage physician recruitment, onboarding and compensation administration
  • Oversee, without necessarily directly managing, all day-to-day operations
  • Perform other duties as assigned

Key Duties to add if these locations are part of this Administrator’s responsibilities:

☐ MRI/CT/X-Ray location(s)

  • Recruit and provide for the supervision of appropriately licensed radiology personnel.
  • Ensure that radiology equipment is maintained in accordance with manufacturer’s instructions and inspected as necessary to comply with State regulations.
  • Evaluate new or replacement equipment as needed per service needs identified by physicians
  • Ensure that all radiology services are provide in accordance with State regulations.
  • Ensure appropriate supervision such that staff operate equipment appropriately and comply with all safety standards and policies and procedures
  • Oversee services provided by contracted radiologists (if any)
  • If desired by Care Center physicians, maintain accreditation for radiology services.

☐ Audiology Clinic(s)

  • Recruit and supervise appropriately credentialed and licensed audiologists.
  • Ensure efficient operations of audiology services and that services are adequately staffed to support patient needs.
  • Oversee purchasing of hearing aids and other supplies
  • Ensure that services are documented in accordance with Medicare and other guidelines and that appropriate revenue cycle functions are in place.

☐ Allergy Clinic(s)

  • Ensure that services are overseen as needed by a Registered Nurse or Physician.
  • Ensure that staff are appropriately licensed to provide allergy services and that staff comply with all safety standards and policies and procedures
  • Ensure that staff are appropriately trained in the provision of services to include emergency procedures in the event of an anaphylaxis event.
  • Ensure that an emergency kit, O2 and other supplies are maintained and readiliy available in the event of an anaphylaxis event.
  • Ensure that an adequate inventory of antigens and other necessary supplies is maintained and purchased in a cost effective manner.
  • Ensure that services are documented in accordance with Medicare and other guidelines and that appropriate revenue cycle functions are in place.

☐ Retail Spa(s)

  • Oversee inventory and ordering of retail product
  • Ensure Reports are run in Next Gen
  • Ensure that staff are appropriately licensed with the state of Washington.

☐ Medicare certified Ambulatory Surgery Center(s)

  • Oversees and supports the ASC Director as needed, to include:
    • Communication, patient scheduling and insurance authorization processes with Care Center teammates
    • Significant financial, staffing and major equipment purchase decisions
    • Allocation of block time, monitoring block time utilization and adjusting as necessary to ensure efficient operation of the ASC.
    • Operation of the center in accordance with federal and state regulation
    • Ensures the ASC governing body meets at least quarterly and provides necessary oversight for the ASC in accordance with Medicare, Department of Health and accreditation standards.

☐ Physical & Occupational Therapy Clinic(s)

  • Oversees and supports the Therapy Director in
  • Efficient operation of the clinic.
  • Communication, patient referrals and scheduling processes with Care Center teammates.
  • Significant financial and staffing decisions.
  • Compliance with Medicare and other regulatory requirements.

Education/Experience

  • Bachelor’s degree required or Master’s degree preferred, in health care or business administration or related field. Experience in lieu of formal degree will be considered.
  • Five or more years in health care leadership positions of increasing responsibility, ideally in an independent medical group environment and involving the management of clinics or ambulatory surgery centers and ancillary services.
  • Strong knowledge of medical terminology; completion of medical terminology or anatomy and physiology course/course work in related field preferred
  • Knowledge of computerized information systems, Care Center management software, PACS, EMR/EHR and MS Office applications.
  • Working knowledge of reimbursement regulations.

Working knowledge of regulations, compliance laws and policies, and guidelines pertaining to healthcare administration.

Knowledge, Skills and Abilities

  • Demonstrated skills in operations, human resources and people management, physician relations and recruitment, strategy and financial management.
  • Proven ability to think strategically, broadly and creatively while also serving as a hands-on manager and a high performing individual contributor.
  • Demonstrated excellent judgment, understands what they do not know and what questions to ask to reach well informed decisions that minimize risk.
  • Experienced manager with an established collaborative style who influences change and builds consensus for ideas and recommendations that move organizations forward.
  • Determined experience extending compassion for colleagues and subordinates and able to sustain collegiality and team orientation in a high-performance culture.
  • Knowledge required of ICD-10 and CPT coding and how it affects reimbursement from third party payers.

Occasionally lifts and carries items weighing up to 40 pounds. Requires working under stressful conditions or working irregular hours
