ECI Group is currently hiring a Capital Contracts Coordinator responsible for contract administration, including, setting up vendors, ensuring the proper contracts are used and executed, tracking contract milestones and draws, and ensuring timely and accurate payments. What You'll Do
•Coordinate the completion of capital, construction and renovation contracts, including ensuring that requested changes are communicated to legal and asset management teams for review.
•Ensure that contracts include accurate payment schedules, project timelines, and warranty information.
•Assist in the preparation Capital Contracts from a scope perspective; facilitate the delivery of contracts via HelloSign to the appropriate contractors and internal stakeholders; follow-up on status daily.
•Manage accounts payable for general contractor activities, multi-family projects and capital improvement projects while monitoring and updating life safety inspections and tracking.
•Ensure that vendors for capital projects are entered into ECI's vendor approval system and that all pertinent documents are received prior to contract execution, including insurance documents.
•Prepare draw packages for submission to asset management. Enter capital improvement invoices into the share drive and ensure they are properly approved and coded with an attached lien release.
•Update the capital draw tracker for each property on a weekly basis to ensure that committed contracts, payment progress and work status are accurately tracked.
•Obtain and review all invoices designated for payment as needed to ensure continued productivity and timely delivery of payments.
•Assist with other special projects as assigned.
What You'll Need
•High school diploma or GED required, bachelor's degree in construction management, Engineering or similar field preferred.
•Intermediate experience with Microsoft Word, Outlook and Excel.
- 2+ years of office/administrative experience
•Strong organizational and interpersonal skills, including the ability to manage competing deadlines.
•Ability to communicate and interact with individuals at various levels within the organization
