Essential Job Duties:This is an internal posting for current NC State permanent and temporary employees, and candidates with RIF priority.
Financial and Operational Administration
- Manage and facilitate business and financial operations for the office
- In collaboration with the division-level business offer, develop budget projections to help inform the Director’s short and long-term fiscal planning for the office
- Serve as a member of the Study Abroad leadership team
- Maintain and enhance revenue and expense tracking for office expenses; provide recommendations for the best use of available resources and foster a culture of effectiveness, efficiency, and excellence
- Provide guidance for program-level budgets and reconciliation of expenses
- Set international exchange rates for study abroad program budgets
- With office leadership, set program personnel compensation guidelines, position roles/responsibilities, and facilitate necessary HR and supplementary salary procedures
- Facilitate study abroad program contract processing in coordination with University Contract Management
- Create and maintain budget templates
- Facilitate international and domestic financial transactions as they relate to study abroad programs, ensure proper charging of operating revenues and expenditures in accordance with established guidelines
- Communicate and coordinate training for faculty/staff leading programs regarding budget management, appropriate fiscal transactions, and receipting requirements
- Identify and address financial inconsistencies between programs and onsite program personnel
- Lead process for budget reconciliation process in coordination with the University Controller’s Office
- Explain financial information in understandable terms for non-technical staff and stakeholders
- Coordinate the review process for study abroad fee appeals to align with university fee appeals
- Manage the study abroad scholarship process together with the designated program coordinator. Gather information and prepare reports on available scholarship funding and selection criteria in coordination with academic and administrative units across campus. Liaise with the Office of Scholarships and Financial Aid and other campus units to post scholarships to student accounts.

- Prepare reports on study abroad enrollment trends, including IIE’s Open Doors submission, campus-level reports, and department/college-level student reports.
- Support unit-level HR administrator and Director in execution of HR actions and compliance
- Maintain inventory control, oversee facilities coordination/planning, and
software/information technology approvals
Staff Supervision
Supervise two full-time staff members for office finance and operations. Assess and evaluate performance; support staff in their roles and responsibilities; help support staff in managing their workloads. In their absence, this position is responsible for initiating and assuring completion of transactions.
Program Budget Portfolio
Maintain a designated portfolio of study abroad program budgets.
- Manage all aspects of the financial and operational components associated with each program
- Collaborate with faculty/staff directors and Study Abroad program coordinators on program budget planning, pre-departure budget review, budget reconciliation, and hiring associated with each program
- Maintain the various operational components necessary to sustain programming, such as vendor set-up and payment, reconciling travel advances, PCard and faculty travel reimbursements
- Engage in collaborative and communicative working relationships with the study abroad staff and faculty and staff who lead study abroad programs
- This position will serve as an active member of the Study Abroad leadership team in developing and implementing new initiatives.
- The Assistant Director will participate in office-wide events, such as pre-departure orientation programs for both outgoing and incoming students, fairs, and other special programs.
- The Assistant Director will also help position NC State as a leader in study abroad by serving on relevant committees and advisory boards within the field, representing NC State and Study Abroad Office at state, regional, and national conferences, as needed, and presenting sessions and workshops, when possible.
Bachelor’s degree in accounting, business, finance, or other related field and three years of
progressive related experience or an equivalent combination of education and experience
Department Required Skills
- Minimum of three years of professional experience in the field of higher education or not-for-profit management
- Intermediate knowledge of fiscal/budgetary principles and accounting functions; maintain quality assurance in adherence to set University and State procedures and guidelines
- Demonstrated analytical skills to assess existing financial processes and procedures, recommend and implement changes, and develop best business practices
- Ability to resolve operational problems of varying complexity; make suggestions for and/or implement process improvements
- Experience collecting, organizing, and interpreting data from a variety of sources, and presenting data in a clear fashion
- Strong communication skills and ability to translate complex financial concepts to non-technical staff and stakeholders
- Demonstrated success working in a collaborative, team-oriented environment
- Strong computing skills, including Excel, MS Office, Qualtrics, and Google Suite; an ability to learn new software
- Ability to prioritize workload and adapt to changing demands and priorities
Preferred Experience, Credentials, Qualifications, Certifications
- Experience supervising professional staff; excellent managerial abilities and leadership initiative
- Previous experience working in international education and/or university campus environment
- Experience working with multiple funding sources and knowledge of budgetary planning, development, and control
- The ideal candidate would possess a high level of professionalism, have experience working with faculty, and exhibit empathy and enthusiasm in interactions with students, faculty/staff and other stakeholders
- Experience supervising staff and student employees; excellent managerial abilities and leadership initiative
