EXPECTATIONS:
Maintenance
- Assist in the use of IT equipment (i.e., stock paper and ink, aid staff in printing, copying and scanning needs, etc.).
- Maintain inventory of furniture and non-IT equipment and supplies.
- Assist in the maintenance of Company records.
- Conduct basic daily cleaning routine to keep an office in good condition.
- Accurately maintain Carbondale Office key tracking spreadsheet.
Patient Support
Assist the Director of Business Administration in helping patients who call or visit the Company main office.
Process patient Financial Hardship Discount applications and assist the Director of Business Administration with other patient billing queries and requests.
- Enter billing queries in the CRM, as needed.
- Update patient insurance information when received.
Purchasing
Assist in purchasing furniture, equipment and supplies for the Company.
Work closely with the Scheduling team and other team members to purchase uniforms for medical providers per the Scrub-Ordering Policy.
Accurately categorize and report all purchases made.
Purchase gifts on behalf of the company, as needed.
Reception & Mail
- Answer phone.
- Receive, sort and distribute all of the Company’s incoming mail and deliveries.
- Assist staff with mailing and shipping (prepare items for mailing or shipping, take items to be sent via courier).
- Receive clients, patients, and other visitors to the office.
Travel
- Work closely with the Scheduling Coordinators and Recruitment Team to make and manage travel arrangements for medical providers.
- Assist non-provider employees with travel arrangements for business travel, as requested.
- Create and maintain itineraries, in the CRM.
- Handle travel emergencies as they arise which entails being on call for travel emergencies.
- Be available to all departments and personnel for administrative assistance in the abovementioned areas and in any other tasks pending supervisory approval.
- Assist in the organization of and preparation for Company events, including but not limited to celebrations, Company-sponsored meals, training sessions, and leadership meetings.
- Assist employees in the use of the fax system.
- Print items, as needed, for remote workers.
Information Technology
- Assist with technical support or coordinator with IT vendor to offer technical support. Work with IT support vendor to ensure back-up IT support is available when required.
- Coordinate IT onboarding for new team members.
- Create user profiles, assign licenses, outfit new laptops, and set up all required accounts for new team members.
- Coordinate IT offboarding for team members leaving the company.
- Remove user profiles, unassign licenses, clean and reassign laptops, and remove accounts for terminated team members.
- Provide guidance to team members on Microsoft 365 suite, including but not limited to Teams, OneNote, Word, Excel, Planner, PowerPoint, To Do, and Outlook.
Fleet Management
- Track mileage on all corporate vehicles on a monthly basis.
- Assist drivers in coordinating vehicle maintenance and repairs, including oil changes and tire rotations.
