Salary: $55,000 - $75,000 based on experience

POSITION SUMMARY:  As the first point of contact for customer in relation to service calls and preventative maintenance, this requires a critical thinker and self-starter.  This position is the “right hand” of the service manager and requires an organized and methodical mindset.  Candidates should also be comfortable working with minimal supervision and possess a strong work ethic and team mindset.  


Duties and Responsibilities:  First point of contact for customers (internal & external) requesting remote support, service, repairs and preventative maintenance, 

  • Collaborate with the Service Manager to prioritize and coordinate visits/technicians and remote support/access and see process through until dispatch is completed.
  • Opening and dispatching of service call work orders, rescheduling returns as needed and publishing of schedule to internal teams.
  • Ownership of warranty status from close of project until end of warranty period along with all warranty agreement entries and any equipment and data collection required.
  • Ownership of full preventative maintenance process as per established SOPs
    • Initial drafting
    • Entry into maintenance software
    • Visit scheduling
    • Monthly invoicing
    • Annual renewal cost analysis and processing
    • Keeping customers and management informed throughout the process
  • Perform various monthly reporting duties and provide to appropriate personnel
  • Review of vendor invoices related to contracts, repairs and service calls, and monthly review and remedy of open PO report
  • Digital file management in web-based Operix service software including, but not limited to, site notifications, maintenance forms, spreadsheets and PM scope documents as required
  • Manage asset (equipment) entries and updates as pertaining to contract equipment and system requirements.
  • Complete all service invoicing, weekly, upon completion of management review.
  • Manage tax exempt certificates from customers and to vendors as required
  • Obtain and issue certificates of insurance as requested
  • Provide support to departmental staff with research and various administrative tasks, as assigned
  • Point of contact for material warranty issues, RMA coordination and tracking of credit receipt
  • Suggest ways to improve efficiency within the department or throughout the company.
  • Acting as a link between the company and clients
  • Initial handling of customers and client complaints and/or questions

 

Requirements and Qualifications:

  • Ability to utilize judgment to make decisions, independently.
  • High energy level to handle dynamic, evolving, and fast-paced workload.
  • Initiative; self-motivated (driven), self-starter.
  • Skillful listener, with excellent communication, interpersonal, and customer service skills.
  • High School diploma or GED equivalent
  • 2+ years as Building Automation dispatcher or similar position preferred
  • Strong attention to detail
  • Aptitude to learn quickly
  • Must have heavy call volume experience
  • Superior organizational and analytical skills
  • Excellent customer service skills & strong customer service attitude
  • Ability to multi-task and prioritize work responsibilities.
  • Ability to work collaboratively as a team with minimal supervision
  • Ability to meet deadlines
  • Excellent interpersonal skills, oral and written, with the ability to interact with all types of customers, both internal and external
  • Able to plan and schedule work rather than just react.
  • Strong computer skills/literacy with a good knowledge of Microsoft Office.  Timberline/Sage 300 experience preferred
  • Embrace change in processes as the company continues to grow.


Working Conditions:                                                                                                                                                                         Position is primarily office based, but the ability to be on ones feet and make site visits is a plus.
