General Summary

The Branch Operations Manager is responsible for creating and maintaining appropriate levels of operational focus, integrity, and control strategies within Branch Operations. Acts as a functional liaison for operational activities between branches and all support departments. Works with support departments to implement new processes and monitor operational activities through exception reporting, compliance reporting, audit findings, mitigation plans and other techniques.

Essential Functions

  1. Under the direction of the VP of Operations, assists with implementing programs and policies and providing general administrative direction regarding established FSU CU policies.
  2. Assist with the day-to-day operations of the branches by recommending and implementing approved office procedures for the most efficient use of human and capital resources.
  3. Responsible for the creation and distribution of certain departmental reports.
  4. Works with various departments to support and implement new initiatives.
  5. Reviews monthly branch audits to ensure they are completed accurately and timely.
  6. Assist with ensuring any findings identified during surprise compliance audit are resolved in the appropriate time.
  7. Act as liaison between compliance and branch supervisors, addressing audit findings and providing training when necessary.
  8. Coordinate and schedule cash ordering for all branches.
  9. Assist VP of Operations to develop operational metric reports to facilitate data-driven decisions.
  10. Work with branch supervisors to complete teller over/short documentation and recommend when write-ups required.
  11. Manages front line staff scheduling for Tallahassee and Crawfordville branches.
  12. Assist the VP of Operations with ensuring adequate equipment, supplies, and working space are available to conduct Credit Union operations at all branches. Manage and recommend the purchase of equipment and supplies.
  13. Ensure that the VP of Operations is kept fully informed on the conditions and operations of the branches and of all important factors influencing them.
  14. Maintain regular contact with branch staff, providing support, input, feedback, and guidance concerning their daily operations.
  15. Develop, implement, and maintain operational procedures to maximize efficiency and quality of work, and to provide consistent quality service to members.
  16. In cooperation with the Learning and Development Manager and the VP of Operations, hold periodic staff meetings to discuss areas needing improvement, changes in procedures, new developments, or services and to present general information.
  17. Assist with the roll-out of new or updated policies and procedures.
  18. Assist the VP of Operations in gathering data for periodic audits. Respond to audit exceptions by improving or correcting processes and procedures.
  19. Fully comply with all state and federal regulations governing OFAC, BSA and FACTA.
  20. Must be able to perform basic member service, and teller transactions to effectively coach and mentor when needed or demonstrate a strong working knowledge of these areas.
  21. Assist in the preparation of Branch Operations information for the monthly board packet.
  22. Work with Human Resources to ensure branches are in compliance with State and Federal regulations including providing a safe, hazard-free work environment at the branch level.
  23. Assist VP of Operations with reviewing and approving monthly recognize incentive.
  24. Attends and participates in training offered by Credit Union as directed.
  25. Assist with the coordination of branch openings, closings, relocations, and changes in services.

Additional Functions

  1. Assist the Vice President in maintaining financial, statistical, and accounting records of the Credit Union.
  2. Administer various programs as assigned by the Credit Union President/CEO or Vice President of Operations.
  3. May assist with routine audits of loan files and business accounts; report any findings to VP of Operations.
  4. Respond to complex policy and procedure inquiries from branch supervisors.

 

Job Specifications

  1. Projecting a positive, confident, knowledgeable image as a representative for the Credit Union.
  2. Work requires extensive knowledge of all Credit Union policies and procedures. These characteristics are normally acquired through the completion of a high school diploma plus a minimum of five (5) years of related work experience that includes at least three (3) years of front-line experience in a Credit Union or other financial institution. An associate or bachelor?s degree is preferred but not required. Intermediate mathematical skills required (calculations and concepts involving decimals, percentages, fractions, etc.)
  3. Must have advanced communication skills necessary to effectively communicate with members, staff, and Management on full array of Credit Union service components.
  4. Must have a valid driver?s license and be able to visit branches across the entire membership footprint.
  5. This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, printers, filing cabinets and fax machines. Additionally, this job will be required to operate a vault, ATM for balancing process, cash counter, cash advance machine and coin machine.
  6. This position requires manual dexterity, the ability to lift files and open filing cabinets and vault doors. Should be able to lift full boxes of work and be able to move full coin bags from the Fed and coin machine. This position requires bending, stooping or standing as necessary.
