Bookkeeper/ Administrator

We are seeking a detail-oriented and organized Bookkeeper/ Administrator to join our team at SPRUCED, a dynamic and growing interior design, remodeling, and staging company. The ideal candidate will be proficient in QuickBooks and have a strong background in bookkeeping and accounts payable procedures. This role involves a variety of daily and monthly tasks aimed at maintaining our financial records accurately and efficiently.

Key Responsibilities:
Daily Tasks:
- Review incoming emails for financial documents and communications.
- Monitor all bank and credit card accounts, paying close attention to available credit limits.
- Update and manage transactions in QuickBooks, ensuring all bank feeds are current and categorized correctly.
- Match and attach receipts to their corresponding invoices, including scanning and uploading paper copies.
- Manage receipts across multiple email accounts and supplier sites, ensuring accurate tracking and filing.
- Print and file digital invoices appropriately, maintaining both paper and digital copies.
- Process payments upon approval from designated personnel and record all client invoices to the correct entity, making necessary adjustments for expenses allocated to the wrong department.
- Manage daily personnel and HR activities as required (Track PTO, Insurance, etc.)
Monthly Tasks:
- Compile sales reports and financial statements, including AR and General Ledger expense reports.
- Download and organize bank & credit card statements for reconciliation.
- Manage and schedule recurring payments and prepare mileage reimbursement checks.
As Needed:
- Prepare client reconciliation reports and profit & loss reports for completed projects.
- Ensure accuracy in financial reports and manage supplier/vendor relationships, including handling sales tax certificates and maintaining tax files.
- Manage office inventory and stock as needed
- Serve as general office support perform executive assistant activities as needed.
- Collect W-9 forms, COI, manage tax document preparation, and support annual tax filings.
- Serves as regulation for all Admin, AP/AR activity as needed.
- Oversee LastPass management and PTO tracking among other administrative duties.
Qualifications:
- Proven 3-5 years of experience in bookkeeping, preferably within a similar industry.
- Proficiency in QuickBooks and Microsoft Excel.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to manage multiple tasks and deadlines effectively.
