This is a two-year fixed term position.
The Black Community Services Center (BCSC), affectionately called The Black House, will be commemorating its 55th Anniversary during the 2023-2024 academic year! This milestone has been achieved through the support of a strong and vibrant community committed to activism, scholarship, and social justice.
The BCSC is proud to be part of The Centers for Equity, Community, and Leadership, within the division of Student Affairs. The Centers consist of the Asian American Activities Center, Black Community Services Center, El Centro Chicano y Latino, Markaz Community Resources Center, Native American Cultural Center, Queer Student Resources Center, Women's Community Center and the First Generation and or Low Income Student Success Center. Our center works to advance learning and student development through five pillars - Academic and Intellectual Engagement, Leadership Development, Mental Health & Well-Being, Community Building, and Alumni Engagement.
The Black Community Services Center (BCSC) seeks a Special Events Coordinator to develop, produce, and execute BCSC's existing and new hallmark student and public facing events. This position will report to the Associate Director of the Black Community Services Center in year 1 and the Associate Dean and Karr Family Director in year 2. They will lead while working alongside professional staff and with a diverse constituency of staff, students, alumni and faculty to produce events including, but not limited to, award and graduation ceremonies, on and off campus retreats, workshops, alumni events, outreach visits and special initiatives.
The Special Events Coordinator will serve as a campus partner and advocate within all functional areas of the university. They will be instrumental in sustaining and creating new and existing engagement between the Black Community Services Center and our Stanford and non-Stanford affiliated partners through our current and new programs and initiatives. The ideal candidate will need to exercise good judgment regarding how to prioritize tasks in the face of frequently shifting priorities, have excellent judgment, integrity, flexibility, a positive attitude and the ability to collaborate and consult.

In this role you will:

  • Design, plan, manage and execute cultural, academic and educational events with university wide impact to meet the goals of the BCSC. May serve as the lead on smaller scale events, coordinating teams that plan, implement, and manage all aspects of events or manage program elements of larger scale events.
  • Provide advice and work collaboratively with BCSC student staff and student organizations to develop and execute BCSC sponsored and co-sponsored programs.
  • May train and supervise other staff, volunteers, students and temporary workers.
  • Develop marketing materials and strategies for programs and outreach functions.
  • Manage and facilitate alumni and prospective student campus visits in collaboration with the BCSC Outreach committee.
  • Establish and maintain relationships with the Stanford Alumni Association , Stanford National Black Alumni Association and Stanford Alumni clubs to coordinate events that foster engagement opportunities for current students and alumni
  • Evaluate and select vendors, sites for events and providers of services and communicate with visiting entities such as vendors and event attendees.
  • Oversee event budgets, process purchase requisitions and invoices; track event expenses.
  • Monitor and respond to inquiries by email, phone, in-person and through social media.

To be successful in this role you will bring:
  • Associate degree and three years of relevant full time work experience, or a combination of education and relevant experience.
  • Demonstrated success planning small and large-scale events in a college setting
  • Excellent interpersonal, communication, time management, and customer service skills. Must be well organized and detail oriented.
  • Student affairs or work experience related to the fields of event planning and management, with a focus on access and belonging.
  • Knowledge of Black student and community development in a university environment.
  • Ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines.
  • Demonstrated creativity, problem solving skills, taking initiative, judgment, and decision-making skills.
  • Advanced computer skills, including experience with Microsoft Office Suite and familiarity and proficiency with Google Docs and/or Box, Slack, Zoom and other video conferencing and online meeting tools.
  • Ability to provide oversight with the administration of financial processes such as financial reimbursements, data entry, reviewing terms and conditions regarding contracts, understanding vendor requirements, and following up and resolving issues.
  • Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness.
  • Ability to interact and successfully collaborate with a broad spectrum of contributing groups and customers.

Certifications and Licenses:
Valid Non-Commercial Class California Driver's License.
Working Conditions and Standards:
  • This is a hybrid position which requires on campus work at least three days per week.
  • May require some travel and the ability to work evenings and weekends, as needed.
  • When conducting university business, must comply with the California Vehicle Code and Stanford University driving requirements.

PHYSICAL REQUIREMENTS*:
  • Occasionally kneel/crawl, twist/bend/stoop/squat, grasp lightly/fine manipulation, and grasp forcefully, lift/carry/push/pull objects that weigh 21-40 pounds.
  • Ability to obtain and maintain a California Non-commercial Class license and drive day or night.

The expected pay range for this position is $64,480 - $83,000 per annum.

The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
