Billing-A/R Specialist / Project Admin

We are looking for a responsible Project Coordinator/Project Admin to perform a variety of administrative and project specific tasks. The PC/PA will be an equally contributing member to the Project Admin team regarding project submittals, billings, payments, etc. in a time-sensitive, fast-paced, work environment. Responsibilities will include providing support to our project manager and employees, preparing reports and maintaining project files. The ideal applicant should have excellent oral and written communication skills be focused, reliable and organized. Experience with AIA billing, lien notices and related waivers is a must!

Responsibilities

• Prioritized tasks and meet deadlines
• Review and process subcontracts and change orders for execution accuracy
• Create job files
• Process, track and confirm submittals
• Create and process payment applications to General Contractors using AIA billing forms, Excel, or specific billing programs when required
• Process job specific warranties and close out documents
• Communicate with customer regarding payment status updates
• Process lien notices and waivers as necessary
• Provide backup for other Project Coordinators when needed

Skills

• Experience of administrative or accounting experience in the construction or related field
• Knowledge of AIA billing forms
• Experience using Textura, Procore and/or other payment management systems preferred
• Working knowledge of general office equipment
• Proficiency in MS Office (MS Excel and Outlook in particular)
• Excellent time management skills and the ability to prioritize works a must
• Ability to work independently and as a part of a team
• Attention to detail and problem solving skills
• Excellent written and verbal communication skills
• Strong organization skills with the ability to multi-task

Job Type: Full-time

Pay: $19.00 - $23.00 per hour
