Benefits Specialist - Human Resources
Location: Vadnais Heights, MN (corporate H.B. Fuller location)
H.B. Fuller's benefits programs are an essential part of our employees' total rewards package providing wellness programs and financial security to our employees, and this position will be at the front line of delivering that value to our employees. H.B. Fuller is looking for a strong HR Benefits Specialist to be a vital part of the team as the first point of contact for all benefit inquiries. This individual will partner with the Benefits Program Managers to execute on requests from HR colleagues, employees, retirees and vendors, and ensure the completion of required administrative tasks. They will deliver their responsibilities accurately and on time as outlined by Benefits leadership, with a minimal level of coaching/supervision and prioritize tasks as assigned to support facets of HR initiatives while building knowledge on H.B. Fuller employee benefits and our vendor/HR information systems. The person will also support one of Benefits' key focuses of driving continuous process improvement and automation.
Primary Responsibilities:
60% Benefits Administration Support

  • Responsible for tier-one level responses to all incoming benefit inquiries (phone, email, mail) from employees, retirees, vendors, internal stakeholders, etc.
  • Triage tier-two benefit inquiries to subject matter expert
  • Maintain Excel tracking spreadsheets of recurring department tasks
  • Coordinate the distribution of employee benefits communication
  • Track and validate Executive Physical Program expenses
  • Maintain the intranet document library to ensure that all employee-facing documents are current and accurate
  • Maintain the compliance tracker to ensure timely submissions of government compliance documents
  • Manage the department records retention policy
  • Maintain and update address databases including coordinating follow up on lost participant searches

30% Billing & Budgeting Activities
  • Validate and process invoices for all benefits vendors, ensuring accuracy and timeliness
  • Research invoice issues and payment inquiries with external vendors, accounting, and treasury
  • Request new purchase requisitions and initiate increases to blanket purchase orders
  • Compare benefit plan claims to automatic debits to bank accounts
  • Assist with budget activities

10% Benefits Project Support
  • Support project work performed by Benefits Project Managers
  • Maintain Excel minutes from intra-department meetings when requested
  • Provide support pulling information to comply with subpoenas, audits, and actuarial valuations
  • Other duties as assigned

Minimum Requirements:
  • Bachelor's Degree or 5 years relevant administrative support experience
  • Strong attention to detail and accuracy
  • Analytical thinking
  • Ability to work under tight deadlines with a sense of urgency
  • Ability to support multiple people
  • Independent worker and self-starter
  • Strong sense of responsibility and reliability
  • Clear and concise communication skills, internally and externally, verbal and written
  • Uses good judgment
  • Highly proficient in Microsoft Office suite of programs (Word, Excel, PowerPoint, Outlook) and other common software applications (Adobe and Teams)
  • Ability to quickly become functional on a multitude of vendor websites
  • Handles sensitive information with integrity and gains trust quickly
  • Ability to work in fast-paced environment, juggling multiple priorities at once
  • Appreciation for diversity

Physical Environment:
  • Office environment. 80% sitting, 20% standing/walking. Lifting 10-15 lbs. occasionally. Frequent computer work to include typing and use of mouse.
  • Hybrid-- some flexibility to work remotely a couple days per week from Minnesota location.

Pay is based on several factors including but not limited to education, work experience, certifications, and geographic location.
The salary for this role is $55,000 - $65,000.
