Back Office Assistant
Position Summary:

As a Back Office Assistant, you will play a vital role in the development, evaluation, planning and management of the company's administrative processes and the day-to-day processing of our CRM tool.
This position requires strong multi-tasking and information management skills, the ability to make quick decisions in a fast-paced environment and the initiative to generate new improvement plans. General Responsibilities & Job Duties:
- Plans and assists with Back Office administrative activities. Take responsibility for data management and control.
- Identify problems and opportunities and make innovative recommendations for the improvement of the company's departments.
- Assist the Manager with file management, CRM updates and correspondence for client reporting.
- Respond to customer enquiries and requests in a complete and timely manner.
- Assist the Manager in developing operational workflows and procedures to improve the efficiency, effectiveness, and satisfaction of the company's operational departments.
- Perform other duties as assigned.
Note: This position is based in Miami, Florida, and is not a remote position.
Competencies Requirements:
- Communication: Effectively communicate in writing and verbally at all organizational levels. Present information to the founders of the company and the manager.
- CRM Database: Utilize CRM databases to extract insights, generate reports, and analyze client data.
- Organization: Proven ability to prioritize tasks, manage resources, and handle multiple responsibilities simultaneously. Strong organizational and problem-solving skills.
- Software Proficiency: Proficient in Microsoft Office products, specifically Word, Excel, and Adobe PDFs for editing and organization.
- Self-Motivation: Self-starter with the ability to manage projects independently with minimal supervision.
- Innovation: Capable of generating ideas that create value and improve processes.
Preferred:
- Customer Service Experience: 1 year of experience and knowledge of customer service practices.
- Language: Full knowledge of English. (Advanced)
- Education: Bachelor’s degree in Business Administration, Human resources or a related field is preferred.
Note: This is a full-time position with working hours from Monday to Friday, 9:00 am to 5:00 pm.
Compensation:
The payment range for this position may vary based on factors such as experience, education, and additional responsibilities and will be negotiated during the interview.
