GENERAL DESCRIPTION:
This position will provide high-quality administrative support to the Executive Director and serve as the support position for the Wyoming Miner's Hospital Board.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.
- Responsible for senior administrative management of day-to-day operations, assigned programs, or projects; may provide leadership and guidance to administrative staff.
- Acts as liaison between director, division administrators, and program managers to coordinate calendars for meetings and conference calls.
- Provide instruction on office policies, procedures, and rules.
- Attends takes minutes, and prepares necessary records for meetings.
- Receives analyzes and responds to requests for information.
- Investigate customer complaints and take the steps necessary to resolve them.
- Compiles and analyzes a variety of data and information and prepares related reports.
- Explain program requirements and interpret policies.
- Tracks information.
- Administers database for information.
- Prepares routine response/notification letters.
- Determines scope of work through data and service analysis.
- Assures the procurement process is managed appropriately and according to procedures established by the Department of Administration and Information.
- Provide decision-making expertise for direction in the operation of a field.
- Direct workflow of the office.
- Screens visitors to determine whether they should be given access to specific individuals.
- Monitors fiscal documentation such as travel vouchers, expense vouchers, accounting of state purchase cards, and requisitions.
- Work may involve taking on various administrative responsibilities to allow management to focus on critical issues.
- Coordinates a variety of advanced, diversified, and/or confidential administrative support functions.
- Represents management in matters with immediate staff, agency staff, other agencies, and/or the public.
- Conducts research related to the specific project or program.
- Travel to board meetings, training, and outreach events.
- Counsel miners on available benefits.
- Complete projects assigned by the Executive Director.
- Ability to conduct surveys.
KNOWLEDGE:
Knowledge of the protocol in dealing with complaints and other issues involving interaction with the Governor's Office the legislature and other high-ranking officials.
Knowledge of the mining industry.
Knowledge of applicable computer applications.
Knowledge of records processing and maintenance procedures and systems.
Knowledge in the preparation of complicated documents.
Knowledge and understanding of the agency, and each program.
Knowledge of investigating alleged non-compliance.
Knowledge of project management.
PHYSICAL WORKING CONDITIONS:
- Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
- Special physical demands are not required to perform the work.
