Housing and Residence Life is passionate about the Georgia Tech residential student experience. With 97% of all first-year students choosing to live on campus, we create spaces and opportunities for Yellow Jackets to grow and connect from their first day of college through their graduate studies. Our department is a large and complex organization supporting over 8,700 on-campus residents among 49 traditional halls, suites, and apartments, some of which were constructed for the 1996 Summer Olympics. Our team of 200+ professional staff and 300+ student staff among seven departments support residents directly and indirectly with their unique talents.

Job Summary


Provide professional, executive-level administrative support for an Institute executive, typically at the Associate Vice President organizational level. Provide office-related services required by the Executive, including coordination of correspondence, report preparation, meeting and event arrangements, file/records maintenance, and fostering positive relationships with key external stakeholders and executives and staff within other campus units. This position will interact on a consistent basis with callers and visitors to the Executive's office, counterparts in other offices, unit management, and staff. This position typically will advise and counsel unit administrative staff. This position will supervise lower-level administrative staff.

Responsibilities


Job Duty 1 -
Serve as primary contact with the campus and external community on the Executive's behalf. Prioritize appointments and other requests for meetings/visits with the Executive. Coordinate the Executive's calendar, meetings, and event arrangements.

Job Duty 2 -
Prepare correspondence and reports, which may include the origination of first drafts of presentations, content for newsletters and websites, and conducting related analyses and research. Research and develop materials in preparation for visits, conferences, meetings, etc.

Job Duty 3 -
Coordinate travel arrangements for the Executive, including processing travel authorizations. May include international travel and/or travel arrangements for visitors.

Job Duty 4 -
Coordinate the signature and redistribution of documents as needed. Re-assign and forward documents as appropriate. Maintain the Executive's office filing system and organize pertinent and confidential documents.

Job Duty 5 -
Responsible for event planning and coordination for the office.

Job Duty 6 -
May oversee monitoring of budget and purchasing activity. May coordinate payroll and HR-related functions (time-keeping, PSFs, paperwork, processing, etc.).

Job Duty 7 -
Review and resolve complex administrative-related questions and issues; recommend new or revised administrative procedures. Provide advice and guidance to others in the unit administrative support group.

Job Duty 8 -
Provide project coordination and support for special office initiatives.

Job Duty 9 -
Perform other duties as assigned

Required Qualifications


Educational Requirements
High school diploma, GED Certificate, or Vocational School Diploma

Required Experience
Six to eight years of job-related experience

Application of required skills within a university environment is preferred.

Proposed Salary


Pay Range: $22.45-$30.45/hr.

Knowledge, Skills, & Abilities


SKILLS
This job requires advanced knowledge of administration at the Executive level. This includes skills in scheduling, event planning, development and coordination of complex itineraries, customer service, communications, and effective interpersonal relationship building and maintenance. Must be familiar with executive protocol and requirements. Use of office and specialized computer applications is required.
