Job Description:
As a trusted senior advisor to the Vice Chancellor, Chief Academic Officer, and Provost, the Associate Vice President of Academic Operations (AVPAO) has a crucial leadership role in overseeing budget, operations, and facilities for the Academic Affairs Office and supporting institutional academic priorities. The AVPAO reports to the Provost and is a member of the Provost's leadership team, Chancellor's Council, and University Leadership TeamThe AVPAO exercises considerable judgment to problem-solve, project manage, and execute on behalf of the Provost across the academic leadership team and University stakeholders.
Qualifications:
  • Bachelors degree required & advanced degree preferred. A minimum of 10-15 years of related work experience specializing in financial planning, organizational management, or operations initiatives is required.
  • A record of successful leadership while directing the efforts of professional staff in a complex organization is preferred.
  • Ability to translate strategic imperatives into actionable plans.
  • Academic Affairs/Operations experience, particularly within the context of serving university executive leadership strongly preferred.
  • Record of demonstrable accomplishments involving integration of resources, leading multi-faceted operations, & performance of staff within a highly competitive environment.
  • A record of effective supervision in guiding, leading, & motivating individuals, working collaboratively as a member of a senior leadership team.
  • Track record of staff development performance & accountability.

Job Specific Qualifications:
  • Experience as a senior finance and/or operations leader. Experience in higher education is strongly preferred.
  • Exceptional leadership skills with a successful track record of developing and communicating a strategic vision that inspires and motivates a diverse staff;
  • Demonstrated commitment to diversity, equity, and inclusion.
  • Ability to work collaboratively and strategically across functions, levels, and departments. Strong written and oral communication skills with the proven ability to problem-solve and effectively operate in a senior administrative role.
  • Excellent interpersonal skills with the ability to interact with diverse internal and external constituents.
  • Senior level project management experience, demonstrated success managing large plans to completion.

Responsibilities:
Supporting all academic support programs, Syracuse Abroad and the division of enrollment management, the AVPAO is responsible for planning and leading budget development, management, oversight and planning; human resource management; space planning and construction; and operational management. The AVPAO is also responsible for general oversight of all budgets within Academic Affairs-including the Libraries, all satellite campuses, and all schools and colleges. The AVPAO is also responsible for playing a leadership role in strategic initiatives for Academic Affairs, including academic strategic planning, resource allocation, divisional restructuring, etc. The AVPAO is also directly responsible for managing study away personnel and facilities, and leading the on-campus planning for building internal and external marketing and sustainable support structures for all study away facilities.
Financial/Budget:
  • Responsible for the operational and financial performance of Academic Affairs, academic support units and enrollment management, and long-range financial planning for the division. Including Syracuse Abroad and the study away locations, the total budget for the division is approximately $71M.
  • Oversees the goals and operations of financial operations for Academic Affairs. Directly oversees the Academic Affairs budget and finance team
  • On behalf of the Provost, ensures school/college budget and financial performance.
  • Works directly with the deans and senior academic leadership on their budgets, capital plans and strategic initiatives to ensure alignment with Provost priorities and the institutions strategic plan.
  • Review and analyze operational and financial information to support executive-level decision making.
  • Contributes financial and operational insight into academic policies and practices.
  • Oversees the development of budgets and feasibility studies for program proposals raised by academic leadership and forecasts of the net financial effect of strategic options under consideration.
  • Works with the CFO Office and Enrollment Management to evaluate enrollment targets, discount rates, program fees and help make other key decisions regarding the institutions revenues.
  • Oversees the development and maintenance of a comprehensive multi-year financial plan for the division.
  • Oversees team of finance professionals who help to support the broader division with various budget related initiatives.
  • Partners closely with central Budget and Planning to engage in the various annual budget cycle requirements and strategic planning exercises.
  • Working with deans and the Budget Office, manages subvention adjustments, bridge financing and one-time awards to support school/college initiatives.
  • Works with CFOs office to support Provosts vision on new revenue generation.


Operations:
  • Plans and helps to execute critical operational functions while providing oversight and support to the Provost as it relates to:
  • Enhancing the divisions educational, research, and outreach programs
  • Strengthening its financial resource team.
  • Reviews and approves all hiring across schools, colleges and academic support units, and serves as a troubleshooter with the budget office and other University departments when budget challenges affect hiring plans.
  • Represents Academic Affairs in University-wide Enterprise Risk Management and emergency management initiatives.
  • Provides analysis, assessment, and recommendations to support decision-making by the divisions leadership.
  • Serves on University committees and work groups to support University needs; conveys and manages highly sensitive information with integrity, diplomacy, and discretion.
  • Working with the VP of Advancement supports Academic Affairs fundraising efforts, including funding for advancement opportunities, grant proposal development and, where appropriate donor stewardship.

Supports strategic plan implementation:
  • Provides leadership and expertise to advance the strategic plans at the University and school/college levels, monitoring progress from a budget and operations perspective toward achieving its goals and objectives, and strengthen outcomes.
  • Develops, tracks, analyzes, and reports on key performance indicators linked to the goals of the plan.
  • Works with VPR, Budget Office and deans on financing the STEM transformation.
  • Lead development and alignment of organizational capabilities required to achieve goals of the academic strategic plan.

Supports study away and abroad:
  • Works directly with the Executive Director and Director of Global Operations at Syracuse Abroad to support the expansion and business operations of Syracuse Abroad. Oversees Syracuse Abroad operational, capital and incoming revenue budgets.
  • Works directly with Academic Affairs leadership for the management and operations of the study away locations. Directly supervises the site management of each location.
  • Supports academic leadership in the support of existing and development of new cohort-based study away programs.
  • Works with Financial Aid to build and implement pathways for supporting undergraduate study abroad and away programs.

Facilities:
  • Works with deans, other academic leadership and academic support unit staff on all capital planning and facility development projects.
  • Respond to space-related concerns, aligning budget resources to space improvement priorities, examine opportunities to strategically reallocate space to serve the divisions strategic goals.
  • Work with deans and academic leadership to help prioritize facility-related initiatives and project manage these to completion.
  • Represent Academic Affairs on all AA-funded capital projects.

Other Initiatives:
