As New York City emerges from the worst of the global pandemic, we are focused on getting families back on their feet; getting kids back on track; and getting New Yorkers back to work.

Robin Hood also understands that if we are to support families living in poverty and find permanent pathways out of poverty and towards financial independence, we must become an effective partner with government, especially at the City and State levels. We do this by leveraging the expertise of those who are closest to the challenges of poverty, including community members, community-based organizations, and others with specialized skills and knowledge. We also aim to collaborate with New York City government to fund program and policy innovations that hold the promise of expanding economic opportunity in New York City – providing nimble “risk capital” for high-potential strategies. In this way, we seek to leverage our philanthropic investments by finding ways to advance the highest-impact strategies at scale.

Position Overview

The Accounts Payable (AP) Associate plays a crucial role in managing and processing all vendor and grants payment for Robin Hood Foundation. This position requires strong attention to detail, organizational skills and understanding of accounting principles. The position will report to the Director, Controller.

Responsibilities

Responsibilities will include, but are not limited to:


Accounts Payable

o Review and record all vendor invoices and T&E for accuracy, completeness, and compliance with Robin Hood policies.

o Ensure proper coding and approvals of vendor invoices, and timely reimbursements along with supporting documents.

o Disburse weekly vendor payments and reimbursements via check, ACH, EFT, etc. according to RH policies.

o Review and reconcile vendor statements, resolving any discrepancies.

o Maintain organized vendor records in Box such as, W9, 501c3, and vendor contracts.

o Manage credit card platforms (Divvy, Amex) ensuring timely payment, receipt reconciliation, accurate coding, and monthly reconciliation.

o Reconcile accounts and grants payable transactions in AP systems (Intact, Bill, Salesforce) addressing any outstanding issues.

o Monthly reconciliation of Accounts Payable and grants payable accounts, vendor aging.

o Provide support for the month-end and year-end closing process related to Accounts Payable and grants payable.

o Collaborate with Finance team and other departments to resolve invoice discrepancies, payment issues and other inquiries.



Grants Payable

o Review and record the grant appropriations, management acceleration appropriations, rescissions as approved, ensuring adequate support documentation.

o Request banking information for new community partners as per Robin Hood policy.

o Process weekly grants payment via ACH, wire, or check.

o Generate and distribute grant letters for each grant payment.

o Process audit confirmation requests from community partners by providing transactional details to the Controller.

o Reconcile grant appropriation data between salesforce and Intacct on a quarterly basis.

  • Provide support for Annual Audit.
  • Work with events teams to maintain payments in the detailed events budget and identify variances.
  • Work with Program team to identify and research any grant related discrepancies.
  • Assist Controller or other team members with Special projects as needed.

Qualifications

  • Bachelor’s degree preferred in accounting, finance, or a related field.
  • A minimum of one year of experience in accounting or Accounts Payable is essential.
  • Proficiency in Excel and experience with any accounting software (i.e., Intaact, Bill) is necessary. Experience with Salesforce is a plus.
  • An understanding of basic accounting principles and practices including general ledger management and reconciliation; familiarity with financial reporting and expense classification.
  • Knowledge of internal controls and fraud prevention in Accounts Payable.
  • Ability to analyze financial documents for accuracy, identify discrepancies and perform variance analysis is a plus.
  • Awareness of tax implications related to Accounts Payable, such as 1099 reporting requirements, and a basic understanding of compliance with financial policies and regulations a plus.
  • Able to work autonomously with minimal supervision.
  • Strong verbal and written communication skills.
  • Must be flexible, able to multitask, and comfortable working in a fast-paced environment.
  • Demonstrated problem solving skills and attention to detail.

Robin Hood offers a highly competitive and comprehensive salary and package of employee benefits and encourages strong work-life balance. This position is located in New York City.

The salary range for this role is $64,000 - $74,000.
