Under the direction of the Department Chair, the Assistant to the Department Chair serves as the point of contact for all aspects of the Speech-Language Pathology Department. This position engages with prospective students and their families, enrolled students and their families, faculty, staff, Speech-Language-Hearing Clinic clients and their families, the Dean’s Office, and the broad university community. The individual in this in-person position provides administrative support, manages support staff, addresses complex Departmental tasks, supports faculty, staff, students and the University Administration, and supports the missions of Duquesne University, the John G. Rangos, Sr., School of Health Sciences, and the Department of Speech-Language Pathology.
This position requires initiative, independence, efficiency, excellent decision-making, excellent problem-solving abilities, excellent multi-tasking, and the ability to interact with many different constituencies.
Work will be reviewed through meetings, reports, analyses, observation of results, and feedback from members of the Department.
DUTIES AND RESPONSIBILITIES:
Manages purchasing, budgeting, contracts, and inventories for the Department, Clinic, grant (budget related tasks only), and other accounts.
Responsible for maintaining receipts and reconciliation of four University procurement cards.
Manages student and faculty records and monitors student compliance with departmental non-academic requirements.
Coordinates onboarding for new faculty, staff, and student workers. Ensuring that appropriate clearances, certifications, and necessary paperwork is complete.
Responsible for bi-weekly payroll processing for student workers and staff.
Independently and collaboratively gathers data and generates written reports for departmental accreditations, student and departmental outcomes, and various initiatives.
Manages staff and student workers:
Manages staff and student workers to ensure compliance with Department, School, and University policies and procedures.
Supports staff to ensure that workloads, work schedules, performance consistency and quality, team work, and other work-related issues are appropriately addressed.
Assists support staff in developing and working on SMART goals.
Maintains intimate knowledge of Clinic Office Coordinator and Clinic Office Assistant positions to support and facilitate the work of these positions.
Coordinates cross-training of staff and ensures that Support Staff and Administrative Staff (Assistant to the Department Chair) maintain appropriate levels of cross-training to sustain Department and Clinic operations during staff vacations, illness, and/or vacancies.
Collaborates with the Department Chair and Director of Clinical Education to gather information and conduct annual performance evaluations for Support Staff.
Actively participates in student recruitment:
Serves as SLP liaison with MARCOM.
Prepares all materials for University recruitment events.
Coordinates SLP Ambassadors and faculty volunteers for all recruitment events.
Assists with planning prospective student visits.
Attends recruitment events that occur outside of regular business hours.
Updates Slate as needed.
Updates course schedule and catalog per the Chair’s direction.
Provides regular updates and maintains SLP website.
Maintains department computer inventory.
Manages the SLP Department Google calendar.
Coordinates communication with alumni via email.
Plans and organizes events (annual symposium, workshops, meetings, graduation celebrations, open houses, etc.).
Responsible for maintenance of Listserv accounts.
Performs additional work-related duties as assigned by the Department Chair.
Must successfully complete/meet HIPAA training, CPR certification and specific health requirements of the Speech-Language Pathology Department within the designated timeframe as determined by the Department (approximately 30 days after hire date).
Completes other duties as assigned.
REQUIREMENTS:
Minimum qualifications:
This position requires a Bachelor's degree from an accredited institution.
2 - 5 years of office and/or budget management experience.

Demonstrated proficiency with Microsoft Office Suite: Excel, Word, PowerPoint and Outlook.
Excellent organizational and time management abilities.
Willingness and ability to utilize new technologies relevant to the position (Typhon, IMS, Slate, 25Live, and others as needed)
An openness to constantly learn and to take on new tasks and challenges.
The ability to establish and maintain effective working relationships with students, parents, faculty, staff and Administrators.
The ability to uphold high standards of confidentiality and discretion when dealing with sensitive and confidential information.
