Job description

The Museum of Modern Art is currently accepting applications for an Assistant to the Associate Director of the Museum who will be responsible for overseeing administrative support for and leading special projects on behalf of the Office of the Associate Director and Curatorial Affairs and for facilitating cross-departmental communication and programmatic goals.
Additional responsibilities:

  • Oversees administrative functions of the Office of the Associate Director and Department of Curatorial Affairs.
  • Corresponds with outside persons, other institutions, and Museum staff on behalf of the Associate Director. Responds to inquiries from staff and public in person, by phone, or by correspondence. Sorts mail.
  • Performs a variety of clerical duties. Maintains calendar and coordinates meetings for Associate Director; prepares and distributes agendas and minutes and follows up on action items. Makes travel arrangements and manages departmental records.
  • Coordinates needs of the Associate Director and Curatorial Affairs in the areas of human resources, information technology, facilities, contracts, and budget/finance. Works with Finance to prepare departmental budget, including preparation of financial reports; oversees expenditures and maintains associated financial files. Prepares computer and equipment requests. Supports executive-level staff searches. Maintains personnel records for Curatorial Affairs.
  • Administrates the Robert V. Storr Research and Travel Fund, compiling applications, distributing travel advances, and managing associated accounting and reporting workflows. Supports administration of the Mellon Scholarly Research Fund.
  • Assists with collection management processes. Leads the Museum's annual review of Fractional and Promised gifts, in coordination with General Counsel, Registrar, and curatorial departments. Prepares annual report on acquisitions of works of art.
  • Acts as a liaison and attends to special requests from external collaborators, including commercial galleries, artists, outside scholars, and Museum donors. Accompanies and/or acts as the Associate Director's delegate at meetings and special events. Establishes and maintains effective working relationships between the Associate Director and other Museum departments, other museums, and the academic community.
  • Assists in the preparation, including research and writing, of reports, documents, correspondence, and occasionally, curatorial materials.
  • Leads, organizes, and facilitates Museum-wide efforts, implementing major projects and program initiatives. Monitors a divisional schedule of projects and activities including a Curatorial Forum and Chief Curator meetings. Ensures projects are established and executed for timely delivery according to deadlines.
  • Participates in the development of divisional administrative policies; implements and monitors policies and recommends appropriate revisions. Facilitates cross-departmental coordination of procedures, especially with respect to curatorial departments.
  • Performs special duties and projects related to the programs and operations of the Office of the Associate Director and Curatorial Affairs. Advises the Associate Director and senior leadership of findings. Identifies problems or issues requiring corrective action, and recommends appropriate next steps.
  • Acts in a confidential capacity to support the Associate Director as it pertains to current and future labor-relations policies, practices, and strategies.
  • Performs any other duties reasonably related to the functions described above.

Requirements:
  • Bachelor's degree and five or more years of related experience or equivalent supporting a senior-level executive. Comprehensive knowledge of office practices and procedures. Skills in project management, coordinating administrative services, and evaluating business methods.
  • Excellent computer skills (including Microsoft office; Google; PowerPoint) and the ability to use other standard office equipment. Good verbal and written communication skills.
  • Strong attention to detail and interpersonal skills.
  • Ability to work independently, meet deadlines, and coordinate projects simultaneously with tact and diplomacy. Ability to work with minimal direction, exercising a high level of discretion and initiative. Comfortable in a dynamic and fast-paced environment.
  • Background in history of modern art.
  • Fully vaccinated with a Centers for Disease Control and Prevention and/or the World Health Organization authorized vaccine (or approved for an exemption as a reasonable accommodation due to a qualified disability or sincerely held religious belief or other legal basis).

Reports to: Associate Director
Salary range: Minimum of $65,000 to a maximum of $75,000 per annum
