About the Position:
This position is responsible for the daily operations of the Admission and Registrar's Office on an assigned college campus and its associated center(s). This position provides key support to student services functions, including admissions, records, transcripts, and graduation in accordance with College Policies & Procedures. In addition, this position serves as the campus-based contact for faculty, staff, and students for matters such as course reinstatement, residency for tuition purposes, and attendance confirmation. The Assistant Registrar also facilitates the admission of international students, ensuring that proper college and federal policy is followed to expeditiously certify documents necessary for study in the United States.
Essential Functions/Duties:
  • Manages the daily operations of the Admission and Registrar's Office on the designated campus and its associated center(s).
  • Supports the College Registrar in activities, processes, and policy implementation of admission and registrar functions.
  • Facilitates the international admission process. Adheres to Polk State and federal policy to certify the Form I-20, Certificate of Eligibility for Non-immigrant Student Status.
  • Serves as the primary campus-based contact for faculty regarding attendance confirmation, course reinstatement, roster issues, grade submission, and other administrative tasks.
  • Serves as the primary campus-based contact for students navigating the admission and registration processes including transient students, immigration issues, enrollment verifications, and residency. Ensures compliance with duties related to residency for tuition purposes and leads the Residency Appeals Committee.
  • Manages all data entry and imagining efforts of campus-based admission and registrar staff, including transcripts, residency documentation, test scores, and other pertinent records.
  • Conducts regular training to ensure compliance with college, state, and federal policies and procedures. Assists the district Registrar/Director of Student Enrollment Services with regular audits of compliance with the Federal Educational Rights and Privacy Act (FERPA), access to Florida's Driver And Vehicle Information Database (DAVID), etc.
  • Ensures a superior level of customer service is provided to all students at Polk State College as well as faculty, staff, and the community at-large. Maintains professionalism at all times and performs duties with honesty and integrity.
  • Protects the integrity and the privacy of student records as described in college and departmental policies which interpret the family Educational and Privacy Act of 1974 (FERPA).
  • Other duties as assigned by the Dean of Student Services.

Working Conditions/Additional Information
  • This position is a full-time on-campus position located at our Lakeland campus. (Remote/hybrid options are not available.)
  • Weekend, early morning, and evening work will be required during peak times of the semester.
  • Position may be required to work during College closures (such as winter/spring break and inclement weather closures).
  • Reliable transportation is required for travel to campuses and centers. Possession of a valid Florida's Driver's License is required (or must be eligible to obtain a Florida's license within 30 days).
  • Travel to seminars and conferences may be required.

Salary and Benefits Information
  • This position is a level P14. Please see below for specific salary range.

Required Education
A Bachelor's degree from an accredited institution is required.
Required Experience
Three (3) years of professional, exempt-level work experience in Student Services, Admissions/Enrollment Services, and/or a Registrar's Office at an institution of higher education is required.
