Job Description:
Assist the General Manager in the daily operations of the Homeowners Association. Oversee and supervise the administrative office staff. Interface with the Board of Directors, Committee Members, On-site staff, corporate staff, residents, and vendors.
Essential Functions/Responsibilities:
- Supervise Administrative Coordinator, including training and performance reviews.
- Complete work as assigned by the General Manager, including assisting with the annual budget process and monthly courier articles.
- Act as an intermediary for the General Manager, checking GM voicemails, reviewing correspondence received, proofing outgoing correspondence for grammatical errors, and delegating customer service requests/messages to appropriate staff members.
- Answer telephone calls, screen and refer callers, and provide detailed responses to requests about the Association’s programs and activities.
- Prepare correspondence (i.e., violations, hearings, hearing results, traffic, etc.).
- Supervise and coordinate the daily operation of support services for the Association.
- Oversee, perform, and delegate clerical and support services, such as printing, mail distribution, work order system, inventory, and updating the Association website.
- Establish work procedures and standards to improve the efficiency and effectiveness of the administration office.
- Responsible for ensuring compliance with established corporate standards, policies, and resolutions.
- Review and coordinate with the General Manager to evaluate the work and performance of subordinates.
- Prepare semi-monthly Associations Regular Session Board Packets.
- Attend all Regular Session Board meetings, take and transcribe minutes from meetings (preparing Board memorandums and resolutions), and load the Regular Session Board package onto Board tablets.
- Verify all Regular Session action items approved by the Board at their Board meetings are processed.
- Verify that the annual calendar is updated with all meeting dates and important Association events.
- Maintain corporate document files consisting of grand deeds, real property documents, by-laws, and other original documents relating to the Association’s real property of governance and maintain individual files for homeowners.
- Prepare, facilitate, and maintain Association contract files, including related insurance, labor code, licenses, and other legal requirements.
- Coordinate annual Board of Directors election by preparing information for mailing.
- Cross-train other departments and be the staff point of contact. Liaison to the committees and communicate with the General Manager regarding items of concern.
- Other duties as assigned.
Requirements:
- High school diploma, Junior college-level knowledge of business English, and excellent written and verbal communication skills.
- Ability to work flexible hours, including work nights and weekends.
- Excellent organization skills, detail-oriented, able to multi-task in a fast-paced environment.
- Exceptional customer service skills.
- Proficient in Microsoft Word, Excel, and Outlook
- Ability to perform diverse administrative functions, basic math, and accounting skills.
- Excellent problem-solving and analytical skills
- Manage priorities to ensure deadlines are met.
- Follow complex instructions and exercise independent judgment.
- Maintain a valid Driver’s License with a clean driving record.

Pay: $70,000.00 - $85,000.00 per year
