Location: Spring, TX
Salary: $58,000 - $83,100 (based on experience) with bonus potential
The Assistant Facility Manager is responsible for providing planning and scheduling in the delivery of soft services (landscape services) to operate and maintain the property including customer/client services, financial management, facility maintenance, procurement, and supplier management. Develop client relationships with key representatives in supporting client's corporate real estate goals and objectives. This position will need to work closely with other functions in the business to support business goals. In addition, this individual will have responsibility to ensure applicable business information/work order data is stored and maintained to support business decisions when needed.
Essential Tasks
Service Delivery
  • Act as a primary point of contact and escalations for CLIENT for assigned service categories providing expected workplace experience.
  • Serve as an onsite Experience Services contact for client employee inquiries, issues, troubleshooting, and feedback related to the services within the workplace, with the primary goal of positively impacting the care and comfort of client employees and guests.
  • Ensure work completion meets service delivery standards and address instances of poor performance.
  • Ensure compliance with all health, safety, environment and risk management policies and procedures.
  • Ensure compliance with required local, state, and federal laws and regulations that pertain to assigned service categories.
  • Support the execution of CMMS work orders as required and act as the point of contact. Utilize CMMS for researching all resident communications.
  • Offer training or assistance with CMMS requests to residents and team members.
  • Provides reports of current activities to Building Managers for client reviews and as requested.
  • Inspect buildings' routinely to guarantee that building services are at the highest level of quality standards. Monitor and review preventive maintenance programs.
  • Work with Building Managers and Strategic Sourcing professionals to identify cost savings opportunities and support their contracting efforts.
  • Share working knowledge of all facility areas to provide backup coverage for team members.
  • Actively participate and identify improvements to emergency response drills (fire, tornado, active shooter, etc.)
  • Provide information and direction to vendors, facilities staff and other service providers as required to ensure excellent coordination, with minimal disruption.
  • Assistance and flexibility with client events as needed to ensure end to end flawless delivery.
  • Perform additional job duties, as requested.

Client Relationships
  • Primary interface with CLIENT representatives for assigned service categories. Collaborate to understand client expectations. Ensures delivery of committed services and overall satisfaction with JLL performance.
  • Establish direct relationship with the client business units, understand their issues, display confidence, and satisfy any concerns.
  • Foster relationships with residents to proactively drive CMMS efficiency.
  • Comply with all requirements of the client contract and meet or exceed SLA/Key Performance Indicators.
  • Demonstrate leadership, responsiveness and creativity in finding solutions for service delivery.

Finance Management and Cost Control
  • Proactively track variances and manage within target of agreed budgets, identifying efficiencies and savings where possible.
  • Obtain quotes, review pricing, and create purchase orders.
  • Verify work completion and ensure accurate goods receipt complying with all relevant policies and procedures.

Education/Experience:
  • Bachelor's degree preferred.
  • 3-4+ years' experience with facilities management required primarily focused on landscape services.
  • Experience working on a client-account strongly preferred.
  • Experience with managing multiple vendors.

Skills & Knowledge
  • Superior client relationship management skills
  • Excellent time management skills to meet contractual deadlines and simultaneously handle and prioritize multiple projects, tasks, and requests.
  • Ability to multitask and work without direct supervision.
  • Facilities management experience required including a history of "delighting" the occupants of the facility, budget management, contract management.
  • Strong work ethic and interpersonal skills. Energetic, articulate, and personable. Ability to work well with others at all levels, including senior leadership, and across organizations.
  • Strong written and oral communication skills.
  • Strong analytical and critical thinking skills including a demonstrated ability to use data to find insights and drive decisions.
  • Proficiency with Microsoft Office Suite - Word, Project, Power Point, Excel.
  • Must be willing to be on call on a rotating schedule on nights/weekends and holidays to answer emergency related calls.
