As a member of the Finance team, you ensure compliance with USALI industry accounting standards. You will monitor and manage the daily flow of information between all The New York Operations and Central Accounting. Assist the Director of Finance to implement, maintain, and monitor internal controls at The Dominick and Vestry (aka the entities) and ensure they are following standard operating procedures and GAAP. Assist with the month end closing and provide the necessary information for Central Accounting in completing the monthly financial statements. Assist the Director of Finance in supporting the operations and provide training when necessary.
Tasks/Responsibilities:
1. Manage the day-to-day business needs of the department and hotel/restaurant operations.
2. Assist the Director of Finance to implement, maintain, and monitor internal controls at The Dominick and Vestry.
3. Ensure and support the consistent, uninterrupted flow of information between hotel/restaurant operations and Central Accounting.
4. Assist with guest inquiries and requests for a copy of their bill.
5. Maintaining a proper flow of informational requests from Owners and Asset Managers by directing them to the DOF, first before they are fulfilled. Such requests should receive the highest priority and be completed in a timely manner.
6. Monitor the weekly forecast process in Unifocus and ensure the daily labor reports are issued.
7. Complete and issue the weekly MTD food and beverage cost flash reports for the hotel and Vestry.
8. Complete Month end closing checklist.
9. Personally participate in the monthly physical inventory as a witness at least once per quarter, recording the counts, and reviewing procedures for compliance. Review the system count is properly stated and reflects the physical inventory.
Review the month end general ledger activity to ensure all required journal entries are accurately prepared for all entities.
Work with the department heads and assist them interpreting their dept’s financial results while assisting the Director of Finance compiling notes for the monthly P&L critique.
12. Compile monthly backup for balance sheet accounts for Central Accounting (balance sheet reconciliations).
13. Assist Director of Finance in maintaining compliance to budgetary guidelines and policy/procedure requirements, in accordance with hotel/company guidelines.
14. Supervise, schedule, coach & counsel, and monitor attendance of Finance Department staff.
15. Assist with the preparation of the annual budget plans with various departments, as directed by the Director of Finance.
16. Assist in developing and implementing internally issued policies/procedures effecting improvement of the operations and financial results.
17. Ensure and maintain compliance with hotel and legally required record retention schedules. Rotate and destroy unnecessary records.
18. In addition, other duties may be required as directed by your Manager.
Minimum Requirements:
- Minimum two years of diverse hotel accounting experience.
- Good knowledge and experience with Property Management Systems (PMS), Point of Sale (POS), Microsoft Excel, Microsoft Word, and Outlook Software.
- Comprehensive knowledge of the Income Audit, General Cashiering, Accounts Payable.
- Excellent mathematical aptitude.
- Very good communication skills, both written and oral.
Desirable:
- College Graduate or College level courses completed in accounting, business administration, or computer technology.
- Accounting experience working in a condo hotel, a residence, or in a residential management company.
- Knowledge and experience in payroll processing. This experience may include a short period of time when they temporarily covered the position during a co-worker’s vacation.
