Job Description:

Reporting to the Director of Human Resources, the Assistant Director provides operational coordination in assigned areas of responsibility to support the vision, mission and goals of the University. This individual assists the Director with all aspects of department management and operations, and acts for the Director in their absence. The Assistant Director serves as a generalist and performs a wide variety of HR duties on a professional level in the following functional areas: recruitment and hiring, onboarding, policy implementation, employment law compliance, employee relations, and diversity & inclusion. 

Responsibilities: 

  • Support all university departments with all HR-related functions and questions
  • This position may support the following areas
    • Recruitment:  Manage job postings & advertising, support hiring managers/search committee chairs with interview logistics, present search committee training, develop and implement recruitment and retention programs to attract qualified diverse candidates, maintain current job descriptions for all staff positions, manage H1B/Permanent Resident Applicant process.
    • Compensation: Conduct annual and as-needed compensation analysis for faculty and staff positions; provide compensation recommendations for new hires and current employees; Maintain knowledge and awareness of salary budgets and notify appropriate department heads of potential issues.
    • Training and Engagement: Support employee engagement and development initiatives on campus; coordinate professional development programs and staff trainings to support staff engagement and development on campus
    • Employee Relations: Support Director with employee relations concerns. Conduct employee exit interviews and summarize turnover data for yearly review.
    • Onboarding: Support the pre-employment background checks process, ensure that offered/accepted candidates receive appropriate new hire materials; conduct new hire orientation bi-weekly
    • Payroll: Support payroll processes with timely processing of adjunct faculty contracts, temporary agreements, and graduate assistant paperwork
  • Act as Title IX Deputy for the Institution
  • Establish partnerships throughout the institution to ensure that employee-focused programming supports the University's values and strategic goals
  • Coordinate data for annual reporting (i.e. the Affirmative Action Plan); prepare data into summaries for presentation to various groups on campus
  • Work closely and collaboratively with the Human Resources team to ensure University objectives and strategic plans are met
  • Assist the Director in preparing and monitoring departmental goals
  • Identify and propose process improvements to increase timeliness and effectiveness of Human Resource functions
  • Represent the University at professional organizations and events as needed
  • Act as primary back-up to HR Director, provide back-up to other Human Resources functions as needed, and perform other duties as assigned


Requirements:

Education & Experience

  • Bachelor's degree required, Master's degree and/or HR certification strongly preferred.
  • 5-8 years' related experience strongly preferred.

Other Qualifications

  • Outstanding organizational skills; ability to prioritize and handle several tasks simultaneously while ensuring accuracy and thoroughness in task/project accomplishment.
  • Able to function independently while operating effectively within a team environment
  • Excellent oral and written skills and ability to communicate comfortably with candidates, colleagues, external constituents and students
  • Cultural competency to work with diverse employee and/or student population
  • Ability to maintain confidential information with discretion.
  • Proficient with word processing, spreadsheet, and database software, preferably Microsoft Office software, and possess solid general computer, math, and analysis skills.  Familiarity with ADP or other HR/Payroll software a plus.
  • Exhibits a high level of professionalism, leadership, creative problem solving, diplomacy, negotiation and sales skills, and the ability to manage complex projects with minimal supervision
  • Professional, courteous demeanor and appearance; ability to work professionally with students, faculty, staff and administration and represent the University professionally to the public
