Job Summary:
The Assistant Manager is accountable for supporting the Office Manager with administrative functions of the day-to-day operations in the office. This includes accountability for client/doctor satisfaction, employee experience, a superior patient experience, employee and personal development, and financial results. They will directly oversee the treatment coordinator job function as well as the success of the hygiene department. Supervisory & LEADERSHIP Responsibilities:
- Be the go-to person for the office treatment coordinators to assist with scheduling, treatment plans, insurance breakdowns, phone calls, and any other duties assigned to them.
- Support ensuring the office is maintained and running efficiently providing a quality patient experience and the highest standard of dental care at all times
- Champion behaviors to drive superior levels of patient service and employee satisfaction while striving to continuously improve results through data-driven analysis
- Run 1-on-1 meetings with treatment coordinators to address concerns and review goals.
- Become an expert in Station Dental processes & procedures and maintain a continued training philosophy within the practice
- Oversee daily huddles to ensure they are efficient and follow Station Dental process
- Support the office at overseeing patient finance administration and collections
- Oversee hygiene providers’ schedule in all capacities including unscheduled recare, unscheduled hygiene treatment, and ASAP lists and ensure accountability for follow-ups.
ADDITIONAL DUTIES AND RESPONSIBILITIES:
The Assistant Manager is expected to support the Office Manager with any responsibilities in which they may need assistance (including when the Office Manager is away from the office). In general, the assistant manager will help ensure daily, weekly, and monthly tasks are completed correctly and on-time. They will act as the go-to person for treatment coordinator questions and training, however, the Office Manager will remain the primary person responsible for overall people management including but not limited to 1:1 meetings, reviews, and corrective action. The treatment coordinator will only be responsible for conducting 1:1 meeting and reviews with the treatment coordinators.
These additional duties may fall within the parameters of a Treatment Coordinator and include but are not limited to the following:
- Educates the patient about their treatment plan, after the dentist has diagnosed and reviewed the treatment plan with a patient
- Assists patients with dental insurance, determines benefits and estimates patient co-pays
- Ensure treatment plans reflect accurate patient co-pay amounts and are properly prioritized
- Present treatment plans and financial options to patients
- Coordinate specialist referrals or in-house specialists
- Take ownership of the restorative schedule utilization and maintain an acceptable case acceptance rate
- Submit insurance both manually and electronically with proper narratives and x-rays
- Work account receivable/collections, utilizing practice reports (A/R, Outstanding Insurance Claims, unsent claims, etc)
- Post daily insurance payments
- Work lists to follow up with unscheduled recare and treatment

WORKING CONDITIONS AND PHYSICAL rEQUIREMENTS:
- Regularly required to sit, stand, bend, reach, and move about office.
- The noise level in the work environment is usually moderate.
- Must be able to lift up to 20 lbs.

- Excellent verbal and written communication skills required
- Ability to quickly connect and build rapport with patients
- Proficient with computers, Excel, Word
- Quickly learn new software, processes & procedures
- Self-motivated, great attitude, and tactful
- The ability to adhere to deadlines
- Outstanding organization / time management skills
Education and Experience:
- Minimum 2-years dental front desk/treatment coordinator/Office Manager experience
- High School Diploma or higher
