Description:

The principal function of the position is the administrative management of the Cityworks software application and data for support of departmental business processes. The work is performed under the direction of the department director or delegate. The exercise of independent judgment and initiative is essential for the position. The nature of the work performed requires that an employee establish and maintain effective working relationships with other Village employees and external application vendors.


Essential Job Duties

  • Assesses Cityworks software support requirements, identifies resources needed to provide support, and coordinates efforts with resources within the department and other Village departments.
  • Serve as Village representative on GIS Consortium Board; work with GIS Specialist to execute Village initiatives.
  • Provide support in the absence of administrative support staff.
  • Establishes and maintains user accounts within department applications.
  • Establishes and maintains application and data security for department applications in accordance with Village IT security policies.
  • Gathers and interprets data for administrative and operations reports.
  • Creates ad hoc reports and queries utilizing reporting tools available.
  • Develops and maintains all business process documentation for department applications.
  • Interacts with stakeholders and end users to gather requirements for new reports or processes related to department applications.
  • Tracks, prioritizes, and resolves department application issues.
  • Provides recommendations to department management on application efficiencies and updates that would improve department operations.
  • Acts as liaison between department staff and IT technical staff and between outside vendors and the department.
  • Provides needed information, training, and demonstrations concerning how to perform department and City application related work tasks, including GIS to new and existing employees.
  • Coordinates and collaborates with IT to administer change management as it relates to department applications.
  • Attends meetings, conferences, workshops, and training sessions and reviews publications and audio-visual materials to become and remain current on the principles, practices, and new developments in assigned work areas.
  • Communicates and coordinates regularly with stakeholders to maximize the effectiveness and efficiency of interdepartmental operations and activities.
  • Performs other related duties consistent with the role and function of the classification.

Required Knowledge, Skills, and Abilities

  • Ability to understand, comprehend, and utilize software programs in conjunction with daily operation of the department.
  • Ability to interpret data and application reports and analyze them to make recommendations for operational changes that enhance the value of the operation to City staff and residents.
  • Ability to communicate effectively with others, both orally and in writing, using both technical and non-technical language.
  • Ability and willingness to quickly learn and put to use new skills and knowledge brought about by rapidly changing information and technology.

Requirements:
  • Associate’s Degree or higher in Computer Science, Information Technology/Systems, Engineering preferred
  • Exposure to Cityworks, Cartegraph, or other Asset Management software
  • At least one (1) year of experience working with applications and data for CMMS/EAM, Enterprise Resource Planning (ERP), or work order management systems
  • Any equivalent combination of experience and training which provides the knowledge or skill to perform the work

The hourly rate for this part-time position is $38. Interested applicants are required to apply on or before 5:00pm on Friday, January 26, 2024.
